What are part-time virtual assistants?

Part-time virtual assistants (VAs) are professionals who provide administrative, technical, or creative support to businesses or individuals remotely for a limited number of hours per week. They handle tasks such as scheduling, email management, data entry, research, and social media management, typically working from home or another remote location. Hiring a part-time VA is a flexible and cost-effective way for businesses to delegate routine tasks without committing to a full-time employee.

What are the key skills and qualifications needed to thrive as a Part Time Virtual Assistant, and why are they important?

To thrive as a Part Time Virtual Assistant, you need strong organizational skills, proficiency in administrative tasks, and familiarity with remote work environments, typically supported by a high school diploma or equivalent. Experience with tools like Microsoft Office, Google Workspace, project management software, and communication platforms such as Zoom or Slack is often required. Excellent time management, attention to detail, and effective communication skills help virtual assistants stand out in supporting clients remotely. These abilities ensure efficient workflow, clear communication, and reliable support, which are crucial for success in a remote, part-time role.

Job description

Dental VA Community Care Representative

Location: Jacksonville, FL
Employment Type: Part-Time
Department: Patient Experience / Insurance & Referrals

About the Position

We are seeking a highly organized, detail-oriented Dental VA Community Care Representative to join our team and serve as the primary point of contact for our Veterans receiving dental care through the VA Community Care program.

This position is responsible for coordinating the administrative process between our dental practices, Veterans, and the Department of Veterans Affairs. The ideal candidate understands the importance of timely communication, accurate documentation, authorization management, and providing Veterans with an exceptional experience from referral through completion of care.

Key Responsibilities
  • Manage VA Community Care dental referrals from receipt through completion of treatment.

  • Review VA referrals and authorizations for accuracy, including approved services and limitations.

  • Submit and track VA pre-authorizations and requests through the appropriate VA Community Care systems.

  • Monitor authorization status and follow up on pending requests to prevent delays in patient care.

  • Coordinate with clinical and front-office teams to ensure treatment is completed within the authorized timeframe.

  • Verify that treatment being scheduled and performed is consistent with the patient's VA authorization.

  • Maintain accurate documentation of referrals, authorizations, correspondence, and treatment status.

  • Communicate with VA representatives regarding authorization questions, treatment changes, extensions, and additional services.

  • Contact Veterans regarding appointments, treatment status, required documentation, and authorization updates.

  • Identify authorization issues before treatment is performed to help prevent claim denials and lost revenue.

  • Assist with VA claims and resolve issues related to authorization, documentation, or treatment discrepancies.

  • Follow up on outstanding VA accounts and assist with resolving unpaid or delayed claims.

  • Work closely with doctors, treatment coordinators, scheduling teams, and billing staff.

  • Maintain confidentiality and comply with all applicable privacy and regulatory requirements.

  • Provide professional, compassionate service to every Veteran and ensure they understand the next steps in their care.

What We're Looking For
  • Previous experience with VA Community Care, VA dental benefits, or healthcare authorizations strongly preferred.

  • Dental office, dental insurance, treatment coordination, or medical referral experience preferred.

  • Strong understanding of insurance verification, authorizations, referrals, and claims.

  • Exceptional attention to detail and ability to identify discrepancies in documentation.

  • Strong organizational and time-management skills.

  • Ability to manage multiple referrals and authorizations simultaneously while meeting deadlines.

  • Excellent written and verbal communication skills.

  • Comfortable communicating with Veterans, VA representatives, doctors, and dental team members.

  • Proficiency with computers and electronic health records.

  • Ability to learn and navigate VA portals and other healthcare systems.

  • Ability to work independently while also functioning as part of a team.

  • Professional, dependable, and solution-oriented attitude.

The Ideal Candidate

The ideal candidate is someone who takes ownership from referral to treatment completion. You understand that a missing authorization, incorrect treatment code, or incomplete document can delay care for a Veteran and negatively impact the practice.

You are proactive rather than reactive. You follow up on pending items, communicate clearly, keep accurate records, and make sure nothing falls through the cracks.

Most importantly, you understand that serving Veterans is more than processing paperwork — it is about making access to care easier and providing an exceptional patient experience.

Why Join Our Team?
  • Opportunity to make a direct impact on the care experience of Veterans.

  • Collaborative dental team environment.

  • Opportunity for professional growth within a growing dental organization.

  • Work in a role that combines patient experience, insurance, authorization, and practice operations.

  • Be part of a team committed to providing high-quality dental care and exceptional service.
