Description:

The Part-Time Production Administrator provides administrative and production support to the Manufacturing Department by managing production documentation, labor reporting, quality records, and operational metrics. This position plays a critical role in maintaining accurate production records, ensuring manufacturing travelers are complete and properly controlled, supporting labor tracking and payroll processes, and assisting with departmental reporting and documentation retention.

The ideal candidate is highly organized, detail-oriented, proficient with computer systems, and capable of managing multiple priorities in a fast-paced manufacturing environment.

Requirements:

Production Documentation & Traveler Management

  • Print production layouts, schematics, and supporting documentation to ensure current revisions are distributed to the manufacturing team.
  • Create, release, update, and close production travelers in accordance with established procedures.
  • Verify travelers contain all required documentation, including material lists, work instructions, drawings, and supporting production records.
  • Scan completed travelers and upload records to designated electronic storage locations for retention and traceability.
  • Maintain organization and control of production documentation to ensure accuracy and accessibility.

Labor Tracking & Attendance Administration

  • Collect employee timesheets and verify labor hours charged to jobs.
  • Enter labor hours into company systems, including Buzzworld and other required platforms.
  • Maintain attendance records and support payroll-related documentation processes.
  • Research and resolve discrepancies in labor reporting and job hour allocations.

Manufacturing Metrics & Reporting

  • Track and maintain production performance data, including:
  1. Utilization metrics
  2. Labor efficiency metrics
  3. Quality performance indicators
  4. Production reporting statistics
  • Generate accurate reports and dashboards for management review.
  • Assist in identifying trends, inconsistencies, and opportunities for process improvement.

Quality Documentation & Records Retention

  • Upload completed quality control photographs and documentation to designated manufacturing drives by job number.
  • Ensure QC records are complete, organized, and retained in accordance with company requirements.
  • Support audit readiness through proper filing and record maintenance.

Administrative Support

  • Reconcile company credit card transactions and prepare supporting documentation.
  • Assist with departmental filing, data entry, and administrative projects.
  • Support continuous improvement initiatives by maintaining accurate documentation and records.
  • Perform other administrative and production-support duties as assigned.

QUALIFICATIONS

Required

  • High school diploma or equivalent.
  • 1+ years of administrative, clerical, manufacturing support, or related experience.
  • Proficient with Microsoft Office Suite, particularly Excel, Outlook, and Teams.
  • Strong data entry and recordkeeping skills.
  • Excellent attention to detail and organizational abilities.
  • Ability to handle confidential information with discretion.
  • Strong written and verbal communication skills.

Preferred

  • Experience in a manufacturing, production, warehouse, or industrial environment.
  • Familiarity with ERP, MRP, timekeeping, or production tracking systems.
  • Basic understanding of technical drawings, schematics, or manufacturing documentation.
