Job Title: Gateway Students Admin Assistant

Reports To: Senior Executive Assistant, Gateway Students Pastor


Job Overview: Gateway Fellowship is seeking an organized, detail-oriented, and proactive Administrative Assistant to support Gateway Students. The ideal candidate will possess excellent communication skills, be highly organized, and work collaboratively with office staff, students, and their parents.


Gateway OneTeam members will support and demonstrate an understanding of the church’s mission: Presenting Hope and Developing People. Key qualifications include possessing a character that reflects biblical godliness and demonstrating a meaningful, personal relationship with Jesus Christ. This position requires regular attendance at Gateway Fellowship to ensure alignment with the church's mission.

  • Salary: $17.13 - $18.00/hr

SPECIFIC RESPONSIBILITIES

  • Communicate with parents, students, leaders, and volunteers via email and texting; respond to questions and messages.
  • Design student graphics, slides, and printed materials; create videos and PowerPoints. Load media into ProPresenter and Planning Center.
  • Check the service order in Planning Center for accuracy, and schedule team members.
  • Add events and registration forms to CCB and Planning Center (the church’s databases and calendaring systems).
  • Manage the youth pastor’s calendar.
  • Prepare agendas, take meeting notes, and track tasks from leadership meetings.
  • Follow up on Next Steps cards promptly, coordinating with the youth pastor and leaders.
  • Reconcile the youth pastor’s credit card. Ensure all expenditures are accounted for and recorded correctly.
  • Oversee the curriculum packets for Sunday morning, ensuring they are ready for distribution.
  • Provide administrative support for weekly youth group meetings, large events (i.e., winter and summer camps), and weekly summer events. Tasks include logistics, registration, volunteer coordination, and budget tasks.
  • Process background checks.
  • Provide additional administrative support as needed.

GENERAL OFFICE RESPONSIBILITIES

  • Maintain a positive relationship between the youth ministry and the congregation and people outside of Gateway.
  • Attend weekly staff meetings.
  • Stock the auditorium, lobby, and Munger Chapel with flyers, booklets, communion supplies, banners, and other items needed for Sunday mornings.
  • Cross-train with other administrative assistants so you can help with their tasks when they’re sick or on vacation, and have them help with your tasks when you are sick or on vacation.
  • Take your turn filling in at the receptionist’s desk when she is ill.
  • Please upload a resume, a cover letter detailing your experience and interest in the position, and any relevant portfolio materials (e.g., sample graphics, slide decks).
Requirements:

QUALIFICATIONS

  • Strong commitment to faith in Christ and alignment with Gateway’s Statement of Faith.
  • Must regularly attend Gateway Fellowship.
  • Previous administrative assistant experience, particularly in a church, is preferred.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Teams, Outlook, Word, Excel, PowerPoint). Experience with Planning Center, Clearstream, and ProPresenter is a plus.
  • Basic graphic design experience (i.e., Photoshop or Canva) is highly desirable.
  • Detail-oriented, highly organized, and self-motivated.
  • Positive attitude, with a passion for supporting church ministries.
