Description
The Part-Time Public Safety Specialist provides essential administrative and clerical support to the Public Safety Department.
Example of Duties
Essential Duties and Responsibilities
  • Provides administrative and clerical support to the Public Safety/Campus Police Department and assists the Director, police officers, and public safety personnel with daily operations.
  • Serves as a professional and courteous point of contact for students, faculty, staff, visitors, law enforcement agencies, and members of the public seeking assistance from the Public Safety Department.
  • Answers and directs telephone calls, emails, and in-person inquiries; provides routine information regarding campus safety procedures, parking regulations, lost and found, building locations, and other Public Safety services.
  • Maintains accurate, organized, and confidential departmental records, files, logs, correspondence, forms, and electronic databases in accordance with College policies and applicable laws and regulations.
  • Assists with the preparation, processing, and maintenance of police reports, incident documentation, accident/injury reports, parking records, correspondence, and other departmental documentation.
  • Assists Public Safety personnel with compiling and maintaining information used for crime reporting, campus safety records, Clery Act requirements, and the Annual Security Report.
  • Receives, documents, and appropriately routes non-emergency requests for service, complaints, questions, and reports to the appropriate Public Safety personnel or College department.
  • Assists with maintaining departmental calendars, schedules, meetings, training records, appointments, and special events.
  • Prepares, formats, proofreads, copies, scans, files, and distributes reports, memoranda, notices, forms, presentations, and other departmental materials.
  • Enters, retrieves, and updates information in College and Public Safety databases and computer systems; ensures data is accurate, complete, and current.
  • Assists with tracking departmental supplies, equipment, forms, uniforms, office materials, and other administrative resources; submits requests for supplies or services as needed.
  • Assists with maintaining records related to Public Safety training, certifications, meetings, professional development, and departmental compliance requirements.
  • Coordinates and communicates with College departments and external agencies as directed by Public Safety leadership, including local law enforcement and emergency service partners.
  • Assists with special projects and administrative assignments related to campus safety, emergency preparedness, crime prevention, security awareness, parking, and departmental operations.
  • Provides administrative support for safety programs, campus events, orientations, training activities, and other Public Safety initiatives.
  • Handles sensitive and confidential information with a high degree of discretion and maintains confidentiality regarding police reports, personnel information, student information, incidents, investigations, and other protected records.
  • Follows College policies, departmental procedures, applicable federal and state laws, and records-retention requirements related to Public Safety operations.
  • Demonstrates professional, respectful, and customer-focused communication when interacting with a diverse campus community, including individuals experiencing stressful or sensitive situations.
  • Exercises sound judgment when determining whether an inquiry or situation should be referred immediately to a Public Safety officer, supervisor, emergency services, or another College department.
  • Performs general office duties, including filing, copying, scanning, data entry, mail distribution, document preparation, and maintaining an orderly and professional Public Safety office.
  • Performs other related duties and special assignments as required by the Director of Public Safety or designee.
  • Be familiar with word/google docs and excel/google sheets
  • Be able to operate a two way portable radio
