We have an opening for a part-time administrative assistant in a small, fast-paced audiology office.
- Two or three weekdays per week - Preferably at least Mondays and Thursdays, but other days will be considered.
- Hours are 8:30 am - 4:30 pm.
- In person - remote work is not available.
- Starting pay will depend on experience.
- Please note that basic bookkeeping skills (see below for details) and some knowledge of claims processing are required for this position - you will need to step into this role with minimal training in these areas.
Key Responsibilities:
- Bookkeeping Tasks/QuickBook use: Produce invoices, collect and process payments, send bills as needed. Balance monthly statements, prepare deposits, monitor accounts receivables/payables, and perform other related duties.
- Insurance Claims Processing: Check insurance coverage, process insurance claims, call insurance companies.
- Practice Management Software Use: Use practice management software to manage electronic health records. Schedule appointments, answer patient questions, scan documents, and perform other related duties.
- Patient Interaction: Greet patients, answer phones, schedule appointments, and obtain patient information.
- Other Duties: Clean and restock supplies, maintain organization of office areas, provide light housekeeping, and assist with all other tasks needed to support a small medical office.
Requirements:
- Some bookkeeping/accounting experience - preferably with Quickbooks or equivalent.
- Strong computer skills, including Word & Excel (or equivalent.)
- Strong phone communication and interpersonal skills.
- Ability to follow HIPAA rules and maintain patient privacy.
- Ability to multitask.
- Ability to work independently.
- Being detail oriented.
Preferred experience:
- Work in a medical office.
- Appointment scheduling
- Medical practice management software use.
Physical Requirements: The position requires:
- The ability to speak clearly and concisely - often at elevated levels,
- The capability of lifting up to 25 pounds,
- Enough visual acuity, with or without corrective lenses, to read fine print and inspect small objects,
- Enough manual and physical dexterity to properly and adequately assist patients and use various items of audiology equipment and office equipment as needed. Ability to manipulate small objects.
The position may involve bending, stooping, walking, and prolonged sitting and standing.
Safety Requirements:
We are a very small medical office, and many of our patients are in high-risk health groups. Like most medical offices, our employees are required to meet all vaccination requirements as established by office policy. Employees may be required to wear personal protective equipment in the event of their own illness and/or according to national or state guidelines.
