I run a digital marketing agency with multiple active clients and a small team, and I need a right hand who's naturally three steps ahead. You're the person whose Friday is so dialed that Monday morning just flows. You've knocked out half your list before 9am because that's how your brain works and you love it.


This is a personal assistant role, but "assistant" undersells it. You're my operational radar, my follow-up engine, and the person who always knows where every client, project, and team member stands. You keep the whole machine running smoothly so I can focus on the work that moves the business forward.


If you've ever been told you're "a lot" because you're too organized, too on top of things, too proactive, this is the role where that's finally the whole point.


What This Actually Looks Like

  • You always know where every client and project stands. Who's working on what, what's on track, what needs attention, what's coming next
  • By Monday morning, you've already mapped my week, flagged what's behind, and told me what you need from me (because you prepped it all on Friday)
  • You check my inbox daily, draft replies proactively, and only escalate what genuinely requires my brain
  • You check in with team members on open work without me asking. You already know what's due and who needs a nudge
  • You send a punchy daily rundown: here's your day, here's what's open across clients, here's what I handled, here's what I need from you
  • You protect my calendar like it's yours. Conflicts get resolved before I even see them
  • End of each day, tomorrow is already prepped. End of each week, next week is already set up


What "Crushing It" Looks Like


We want you to feel clear on expectations from day one:

  • Morning Rundown lands before 9am PT: today's calendar, top priorities across clients, what you need from me, what you're handling
  • Inbox scanned by 9am and again mid-day. Drafts ready for my review, low-priority items handled on your own
  • Team members checked in on regarding open client work. Nobody falls off the radar
  • Calendar stays clean: conflicts resolved same-day, buffers maintained
  • EOD wrap-up sent: what got done, what's open, what's queued for tomorrow
  • Friday week-ahead prep complete: next week's calendar reviewed, client priorities outlined, follow-ups ready. Monday never starts from scratch


Weekly, the benchmark is simple: I never have to ask "where are we at?" on anything you're tracking. Every client has a current status. Every team member has been touched base with. Nothing slips quietly.
