DONATION SPECIALIST

OVERVIEW

Cedarstone began in 1993 as one friend helping another establish a nonprofit. We discovered that when Cedarstone provides accounting and donation services to nonprofits, it enables nonprofit staff to pour more energy into their mission. Today, Cedarstone is an international accounting organization with 200+ clients (mainly Christian) that are changing the world!

As a Donation Specialist, you'll be a vital team member who processes donations for a group of clients to empower their services.

  • Salary: $18 - $21/hour
  • Job class: Part-time 20-24 hours/week during business hours, M-F
  • Reports to: Team Lead, Donation Services
  • Location:
    • Hybrid: US-based, working from our headquarters in Wheaton, IL.
    • Fully Remote: Allowed in the following states: AR, AZ, CO, FL, GA, IA, IL, IN, KS, MI, NC, OH, TN, TX,. No other states or international locations will be considered at this time.

RESPONSIBILITIES

Donation Processing

Record and classify donations in CRMs in a timely and accurate manner following standardized processes.

Record donations in accounting systems as journal entries (JEs) in a timely and accurate manner following standardized processes.

Reconcile donation totals between accounting systems and CRM systems on a monthly basis following standardized processes.

Research any incomplete data to ensure accuracy of recorded transactions.

Create and send donation acknowledgements and receipts to donors following standardized processes.

Client and Donor Engagement

Client engagement. Communicate with each client at an agreed-upon frequency. Initiate ad hoc client conversations as situations arise.

Communication. Receive client and donor emails and calls. Proactively ask clients and donors questions related to donations that may require investigation. Respond to questions and follow up on action items in a thoughtful, timely manner.

Explanations. Explain information and next steps in a clear way to clients and donors.

Staff Engagement

Cross-functional orientation. Understand how Donation Specialists work cross-functionally with other Cedarstone teams for efficient service delivery to clients.

Teamwork. Assist in client onboarding, and provide backup coverage to other Donation Specialists.

Client relationship teams. Meet with select client service teams at an agreed upon frequency to ensure client commitments are met and staff questions addressed.

Work assignments. Perform work assigned to you.

Training. Participate in prescribed training for your growth and development.

Support. Ask for support from your supervisor and others that can help resolve client problems and enhance communication with clients.

Knowledge Sharing

Internal resource. Be a resource for other Donation Specialists by providing technical expertise or communication advice as they resolve client issues

Process Improvement

Collaborate with other Donation Specialists and staff to identify process improvement opportunities, brainstorm solutions, and initiate implementations that can enhance efficiency, accuracy, and productivity across all Donation teams.

General

Document processes to ensure work could be carried on by someone else.

Perform other responsibilities as assigned and attend various Cedarstone meetings.

Audits

External audits and Form 990. Assist Accountants and auditors by running requested donation reports by clients' annual audit deadlines.

QUALIFICATIONS

o Experience and education

1+ years experience working in a business office environment.

2 or 4 year degree

Skills

Knowledge of common business practices.

Research and problem-solving skills. Good at figuring out puzzles.

Organizational abilities.

Highly proficient in Excel

Some knowledge of finance/accounting

Donor CRM system knowledge a plus.

Good written, verbal, and interpersonal communication skills.
