Job Summary: An Agent Services Representative is a proactive and customer-oriented member of our real estate team. The ideal employee will be passionate about real estate, possess excellent communication skills, and thrive in a fast-paced environment. As an Agent Services Representative, you will play a crucial role in supporting our agents and clients, ensuring smooth transactions and exceptional customer service.

Essential Functions:

  1. Serves as a point of contact for clients, agents, and internal stakeholders, addressing inquiries, resolving issues, and providing support as needed
  2. Responds promptly to client inquiries via phone, email, or in-person meetings, addressing their concerns and providing relevant information.
  3. Schedules property showings, open houses, and appointments for clients, coordinating with agents and other stakeholders as needed.
  4. Assists in the preparation and execution of real estate contracts, ensuring accuracy and compliance with legal requirements.
  5. Facilitates communication between buyers, sellers, agents, lenders, attorneys, and other parties involved in real estate transactions.
  6. Tracks and monitors the progress of transactions, proactively identifying and resolving any issues that may arise.
  7. Assists with the development of promotional materials, listings, and advertisements to attract potential clients and showcase properties.
  8. Utilizes social media platforms, real estate websites, and other channels to promote listings and engage with prospective buyers and sellers.
  9. Coordinates and participates in networking events, community outreach activities, and other marketing initiatives to expand the company's reach and reputation.
  10. Maintains accurate and organized records of client interactions, transactions, and property listings using CRM software and other tools.
  11. Prepares reports, presentations, and documents for agents and management as needed.
  12. Assists with administrative tasks such as scheduling appointments, managing calendars, and handling correspondence.
  13. Demonstrates company core values.
  14. Reasonable and reliable attendance and timeliness when reporting to work and completing work.
  15. Interacts well with others.

Education/Experience/Qualifications:

  • Previous experience in real estate, customer service, or a related field is preferred.
  • A valid real estate license (or willingness to obtain one) may be required depending on local regulations.

Required Skills / Abilities:

  • Excellent communication skills, both written and verbal.
  • Detail-oriented with strong organizational and time management skills.
  • Proficiency in MS Office suite and familiarity with CRM software (e.g., Salesforce, Zoho CRM) is a plus.
  • Strong interpersonal skills and the ability to build a rapport with clients, agents, and other stakeholders.
  • Ability to work independently and as part of a team in a fast-paced environment.

Special /Physical Requirements: includes small amounts of lifting, twisting, bending, sitting, standing, keyboarding, etc. Requires sitting or standing at a desk for long periods of time indoors. Eye and hand coordination for viewing of monitor screen and multiple reports along with high volume of keyboard use.
