Job Summary

We are seeking an organized, detail-oriented Part Time Clerical & Personal Asst. for a Small Architecture Firm to join our team in North Richland Hills. In this role, you will play a vital part in our financial and administrative operations. You will oversee the billing process, track project budgets, manage accounts payable/receivable, and utilize Microsoft Office programs to keep our daily operations running smoothly. You will assist the owner as required.

Key Responsibilities

  • Billing Clients: Prepare, review, and issue accurate invoices to clients based on project milestones and service agreements.
  • Tracking Project Accounts: Monitor project-specific budgets, expenses, and burn rates to ensure financial targets are met.
  • Accounts Payable & Paying Bills: Process incoming vendor bills, prepare payments (checks/transfers), and ensure all expenses are properly coded and documented.
  • Client & Consultant Communication: Follow up on overdue accounts, reconcile billing discrepancies, and answer client/consultant billing inquiries via email or phone.
  • General Clerical Administration: Create and format professional documents, spreadsheets, and emails to support project management and office operations.

Required Qualifications

  • Proficiency in Microsoft Office Suite (Expertise in Microsoft Excel for tracking projects/budgets, 

Microsoft Word

  • for correspondence, Teams and Outlook for client and consultant communications).
  • Strong math, analytical, and problem-solving skills to reconcile billing errors and track financial data accurately.
