Job Title: Patient Coordinator / Medical Assistant
Reports To: Office Manager
Location(s): The Vascular Experts - Darien
Schedule: Full Time and Monday-Friday
Position Summary:
The Patient Coordinator / Medical Assistant serves as a key member of the practice team by supporting both clinical and administrative front desk operations. This role is responsible for delivering exceptional patient service, coordinating patient flow, assisting providers with clinical duties, and ensuring efficient day-to-day office operations in a fast-paced medical practice. The ideal candidate is organized, professional, compassionate, and able to multitask while maintaining a high level of patient care and customer service.
Principal Duties amp; Responsibilities:
  1. Opens the office at the designated time each day and ensures the readiness of the reception area, and that the front desk activities are fully operational.
  2. Politely greet and identify patients and visitors as they enter the office and obtain additional patient information as needed. Communicate unexpected delays when necessary.
  3. Checks in patients and collects copays at time of office visits in accordance with the patientโ€™s insurance plan.
  4. Receive payments from patients for services rendered and reconcile daily deposits.
  5. Maintains a neat and organized front office and waiting room.
  6. Schedule patients for appointments in an efficient and productive manner.
  7. Manage and scan patient paperwork into the appropriate sections within the patient chart along with timely communication using the EMR and email.
  8. Provide daily confirmation of upcoming patient appointments.
  9. Prepare medical records requests received from patients and attorneys.
  10. Make copies, fax documents, and shred documents as needed throughout the day.
  11. Monitor and order inventory office supplies and items needed for front desk operation.
  12. Checks out patient at the conclusion of their appointment(s) including the scheduling of any follow up appointments and/or testing.
  13. Verify patient insurance eligibility and obtain both insurance and PCP referrals.
  14. Triage phone calls and messages.
  15. Manage and track patient flow through the office.
  16. Arrange and assist with scheduling patient transportation.
  17. Maintains consistent office safety adhering to OSHA guidelines and maintains patient confidentiality in compliance with HIPAA regulations.
  18. Perform other related duties as assigned by a Manager or other authorized TVE executive.
Qualifications
The incumbent must possess a minimum education of a High School Diploma (or GED) with a minimum of 1 year of medical office and customer service experience. Working knowledge of Microsoft, data entry and other business office system is preferred.
Skills
Patient Coordinator must consistently demonstrate superior customer service, interpersonal and communication skills to interact effectively with physicians, staff, visitors, patients and family members. Must be highly organized with exceptional attention to details. Incumbent must be able to travel to multiple office locations if requested.
