Overview
We are seeking a highly organized and detail-oriented Litigation Secretary to join our legal team. This role provides essential administrative support for personal injury and civil litigation cases. The ideal candidate will possess strong legal administrative experience and excellent organizational skills to ensure efficient case management and seamless office operations. This full-time position offers an opportunity to work in a dynamic law office environment dedicated to delivering exceptional legal services.

Duties

  • Manage and maintain legal case files using document management systems.
  • Prepare, review, and proofread legal documents including pleadings, discovery requests, and correspondence with precision and attention to detail.
  • Conduct legal research across various practice areas such as UCC law, tribal law & regulations, securities law, workers' compensation law, patent law, and immigration law.
  • Assist attorneys with document review and case preparation by organizing evidence and supporting materials.
  • Draft legal documents with clarity and accuracy while ensuring compliance with applicable laws and regulations.
  • Transcribe dictations and notes accurately for case files or attorney review.
  • Coordinate scheduling of court dates, client meetings, depositions, and other litigation-related activities.
  • Maintain meticulous records of case progress using project management tools like PCLaw or other case management software.
  • Provide executive administrative support including managing calendars, handling phone etiquette professionally, and performing data entry tasks.
  • Support the firm’s administrative functions through filing, photocopying, scanning documents, and managing correspondence efficiently.

Skills

  • Proven experience in legal administrative support within a law office environment.
  • Strong knowledge of civil litigation procedures
  • Excellent writing skills with the ability to draft clear legal documents and perform proofreading accurately.
  • Effective transcription skills for dictations or recorded notes.
  • Familiarity with document review processes and case management systems like iManage or Document Management Systems (DMS).
  • Strong organizational skills with the ability to manage multiple cases simultaneously while maintaining attention to detail.
  • Exceptional phone etiquette and communication skills for interacting professionally with clients and attorneys.
