Job Title: Workplace Operations Coordinator

Location: Andover, MA - Part Time - 28/week working Mon-Thurs year round

Schedule Examples: 

  • Ex. 1: Mon-Wed: 8:30am-4:30pm (1 hour lunch break - unpaid)

                     Thur: 7:30am-3:30pm (1 hour lunch break - unpaid)

  • Ex. 2: Mon-Wed: 9am-4pm (30 minute lunch break - unpaid)

                     Thur: 7:30am-4:30pm (30 minute lunch break - unpaid)

Pay: $20.00 - $22.00 / hour

What You'll Do

Front Desk Operations & Guest Experience

  • Serve as the primary point of contact and representative for ALKU at the HQ reception desk, ensuring a welcoming, professional atmosphere for all employees, candidates, and visitors.
  • Partner closely with Internal Recruiting (IR) to coordinate interview arrival logistics, candidate flow, and calendar updates.
  • Maintain and manage the central guest calendar and reception schedule. 
  • Act as an active culture driver within HQ, setting a high-energy, positive tone for the office.

Office Maintenance & Inventory Management

  • Oversee the daily physical presentation, cleanliness, and functional flow of kitchens and common areas.
  • Own inventory management for office supplies, executive kitchen stock, and snack inventory across HQ and Training Centers (including ordering, organizing, and routine audits).
  • Serve as the on-site point of contact for daily office vendors, deliveries, and routine building maintenance requests.
  • Manage office ambiance, including background music and general setup, ensuring a vibrant and productive environment.

Mail, Logistics & Executive Support

  • Manage all incoming and outgoing company mail and packages, including creating external shipping labels.
  • Lead the setup, execution, and breakdown for daily Executive Team catering, special events, and weekly Thursday bagel order.
  • Assist Workplace Operations Team with ad-hoc administrative tasks, operational projects, and facilities initiatives as needed.

Location & Work Environment

On-site requirements

  • Daily shift hours offer flexibility, provided coverage is maintained during peak office traffic and high-volume hours (typically Monday through Thursday).
  • 100% on-site presence during scheduled hours at HQ to ensure front desk coverage, executive catering support, and seamless daily operations.

Physical requirements

  • Prolonged periods of sitting at a desk
  • Ability to lift, carry, and maneuver items up to 15-30 lbs (e.g., packages, catering setups, and office inventory/supplies).
  • Ability to walk and stand for extended periods while conducting routine rounds throughout the office facility, up to 4 times daily.
