The Opportunity


As our Part-Time Office Manager, you won't just file paperwork—you will manage the day-to-day financial health, material inventory, and administrative engine of our business. Working directly alongside company leadership, you will have ownership over our QuickBooks workflows, supply tracking, and office procedures.


Key Highlights of the Role:

  • Flexible Hours: Work 25-30 hours per week with schedule flexibility designed to fit your routine (e.g., set morning shifts or 3 dedicated full days).
  • Workplace Autonomy: Take full ownership of AR/AP, reconciliations, and inventory tracking without micromanagement.
  • Stable Industry: Partner with top athletic surface brands (Har-Tru, SportMaster) in a consistently booming regional market.

Key Responsibilities

  • Financial Oversight & Bookkeeping: Manage full-cycle Accounts Receivable (AR) and Accounts Payable (AP), process client invoices, track project deposits, follow up on collections, and perform month-end reconciliations in QuickBooks.
  • Inventory Control & Supply Chain: Track specialized court materials (coatings, clay, hardware, nets), audit stock levels, verify purchase orders against vendor bills, and coordinate material deliveries with field crews.
  • Contractor & Vendor Administration: Organize subcontractor paperwork, track Certificates of Insurance (COIs), and maintain strong vendor relationships.
  • Office & Operational Systems: Streamline administrative workflows, manage incoming communications, maintain structured digital/physical filing, and keep daily business operations running seamlessly.

What We Are Looking For

  • Proven Experience: 3+ years as an Office Manager, Bookkeeper, or Financial Administrator (experience in construction, trade contracting, or field services is a major plus).
  • QuickBooks Mastery: High proficiency in QuickBooks (Online or Desktop) is required. You should be comfortable generating reports, handling AR/AP, and reconciling accounts independently.
  • Inventory & Detail Focus: Demonstrated experience with inventory tracking, stock audits, and purchase order reconciliation.
  • Self-Motivated & Organized: Extremely detail-oriented, reliable, and capable of prioritizing tasks with minimal supervision in a small-office environment.
  • Bi-Lingual (Spanish)- Not Mandatory
