We are seeking a Lead Non-Clinical Case Manager to provide Non-Clinical Case Management Services for the Vermont Army National Guard (VTARNG) State Medical Detachment, Green Mountain Armory, at Camp Johnson in Colchester, VT.

So, what will the Lead Non-Clinical Case Manager Terrestris do?

As the Lead Non-Clinical Case Manager, you will serve as a key personnel member for the VTARNG Non-Clinical Case Management contract, overseeing a team of Registered Nurses and Medical Records Technician, ensuring coordination, and quality assurance for non-clinical case management operations, ensuring compliance, reporting accuracy, and effective execution of VTARNG medical readiness requirements. This position is contingent upon contract award.

What does a typical day look like for the Lead Non-Clinical Case Manager?

You will:

  • Oversee support to Periodic Health Assessments and Soldier Readiness Processing events by coordinating staffing, priorities, and coverage across the team.
  • Ensure timely establishment and maintenance of electronic case management profiles by monitoring compliance with required timelines.
  • Review and validate monthly case status reports prior to submission to ensure accuracy and completeness.
  • Enforce compliance with Individual Medical Readiness and deployment regulations and ensure proper implementation of medical release procedures.
  • Maintain program-wide adherence to Health Insurance Portability and Accountability Act standards and data protection requirements.
  • Monitor medical and administrative charting quality, ensuring completeness and timeliness across all required systems.
  • Oversee preparation and readiness of Medical Evaluation Board and Physical Evaluation Board documentation and ensure file completeness.
  • Coordinate with Government personnel to track compliance and resolve discrepancies in case management activities.
  • Standardize communication practices to ensure consistent and accurate information delivery to Soldiers.
  • Validate profile management reporting outputs and ensure submission within required timelines.
  • Ensure timely logging and forwarding of medical documents in accordance with required processing standards.
  • Lead monthly case reviews with the Deputy State Surgeon and stakeholders, ensuring accurate case presentation and follow-up actions.
  • Coordinates non-clinical case management by supporting readiness events, maintaining case records, managing documentation systems, preparing board packages, communicating with Soldiers and stakeholders, and tracking medical readiness.

What qualifications do you look for?

You might be the professional we're looking for if you have:

  • Authorization to work in the United States permanently without sponsorship.
  • Shall be a Registered Nurse (RN), with an active state license in good standing in the state of Vermont.

We are extra impressed by folks with:

  • Five years of experience as a Registered Nurse, performing non-clinical case management for the VTARNG or a similar entity.
  • Two years of experience overseeing teams, including team coverage coordination, case status reviews, and leading meetings with client representatives (Deputy State Surgeon or similar).
  • Practical case management experience complying with:
    • Army Medical Readiness Regulations (AR 40-501 Standards of Medical Fitness; AR 40-502 Medical Readiness; AR 40-66 Medical Record Administration and Healthcare Documentation; AR 40-35 Health Hazard Assessment Program).
    • DOD Medical Readiness Systems and Policies (MEDPROS, MEDCHART, eCase, AHLTA / MHS GENESIS).
    • Privacy & Information Protection Laws (HIPAA).
    • Medical Evaluation Board (MEB) / Physical Evaluation Board (PEB) processes.
  • Prior experience as key personnel in a government contract; familiarity with contract planning (Project Management Plan), quality assurance (Quality Assurance Surveillance Plan), and reporting routines.
