Key responsibilities

  • Assess the existing NetSuite configuration, license entitlements, and identify additional licensing needs.

  • Build and configure SuiteFlow workflows for vendor master change control, vendor onboarding, and period-close checklists.

  • Design and implement invoice and payment approval routing, delegation structures, and authentication methods.

Job description

ABOUT THE ENGAGEMENT
T12 Technologies LLC is a Maryland-based technology services firm delivering cloud, AI and automation, cybersecurity, contact center, and back-office modernization to federal, state, healthcare, and commercial clients. We are staffing a finance automation program for a commercial client in Texas: an accounts payable and vendor payment build on Oracle NetSuite, with an AI-enabled invoice extraction layer.
Scope of Work:

Environment assessment. Assess the existing NetSuite configuration, licensed SuiteApps and bundle entitlements during mobilization, and identify any additional licensing required to deliver the scope.
•     SuiteFlow workflows. Build dual-approval vendor master change control for bank, address and TIN changes with automated alerts; vendor onboarding enforcing W-9/TIN and screening evidence; and a period-close checklist workflow.
•     Approval controls. Design and configure invoice and payment approval routing and delegation-of-authority structures, including email-based approve/reject outside the NetSuite UI with authentication handling that satisfies audit-evidence requirements.
•     SuiteAnalytics. Build saved searches for duplicate detection sweeps, anomaly monitoring, AP-to-GL tie-out, unreconciled-item flagging, and accrual estimation.
•     AI integration support. Map AI-extracted invoice data into NetSuite vendor bills and financial records, working alongside a non-NetSuite AI implementation engineer.
•     Deployment and go-live. Manage sandbox provisioning and SSO/SAML access requests with client IT, control the sandbox-to-production promotion path, and support go-live and post-implementation hypercare.
•     Knowledge transfer. Work with a technical writer so every configuration decision is documented, and coach client staff toward maintaining what you build.

 Required — certifications

•     Current Oracle NetSuite certification in at least one of: SuiteFoundation, SuiteCloud Developer II, NetSuite Certified ERP Consultant, or NetSuite Certified Administrator.
•     Credential ID and issue date must be provided with your application. T12 verifies all credentials directly with Oracle before advancing a candidate. Certifications listed without a verifiable credential ID will be treated as not held.
•     If a certification has lapsed, say so and tell us when — an honest lapse is not disqualifying; an unverifiable claim is.

 Required — references

Two references minimum, three preferred. References are contacted before any contract is issued.
•     References must come from delivered NetSuite implementation or administration engagements with finance or AP scope. Demos, pilots and proofs of concept do not qualify.
•     For each reference: name, current title, organization, direct phone or email, the project you worked on together, and their role on it.
•     At least one reference must be someone who can speak to work you delivered within the last three years.
•     At least one reference must be a client-side or business stakeholder — not solely a staffing agency or account manager.
•     If you are submitted through an agency, references must still be your own project references, provided directly.

 Required — experience

•     5+ years hands-on NetSuite work including production configuration and development you personally built and supported.
•     Direct experience with NetSuite AP and procure-to-pay — vendor bills, PO matching, item receipts, approval routing, GL coding, and period-close activities.
•     Hands-on delivery of EITHER three-way match (including Advanced Receiving) OR NetSuite Bill Pay — payment setup, approval routing, bank connectivity and remittance — with working knowledge of the other. Depth in both is preferred, not required.
•     SuiteScript 2.x/2.1 across User Event, Scheduled, Map/Reduce, Suitelet and RESTlet script types.
•     SuiteFlow workflow configuration and SuiteAnalytics saved search development.
•     Controlled sandbox-to-production promotion using SDF, SuiteBundler, or an equivalent process.
•     SSO/SAML configuration and role-based permission design in NetSuite.
•     Demonstrated ability to work directly with finance and AP stakeholders and translate technical decisions into terms they can act on.
•     Legal authorization to work in the United States as an independent contractor.
•     Ability to travel to the client site in Texas on 48 hours’ notice.

 Preferred

•     Hands-on depth in BOTH three-way match and Bill Pay.
•     Multiple current NetSuite certifications, particularly SuiteCloud Developer II alongside a functional credential.
•     Texas residence, or established travel access to Texas.
•     OneWorld / multi-subsidiary experience, especially onboarding an acquired entity.
•     Prior integration of OCR, document capture, or AI invoice-extraction into NetSuite AP.
•     SOX, internal controls, or audit-evidence experience — this engagement produces auditor-verifiable control evidence.
•     Payment operations experience — ACH, virtual card, positive pay, or bank file formats alongside NetSuite.
•     Experience in an environment with high non-PO spend, or with mixed PO and non-PO purchasing.

 Location and on-site expectations

This is a remote role with periodic on-site work at the client site in Texas. Texas-based candidates are preferred for travel efficiency, but we will consider strong candidates anywhere in the US who can meet the on-site and time-zone requirements below.

•     Expect roughly five to eight on-site days across the engagement: up to three consecutive days in the first week for system familiarization and process discovery, then periodic days around key milestones, cutover and go-live.
•     Travel and lodging are reimbursed at cost and arranged through T12. We give as much notice as we can, and more than 48 hours wherever possible.
•     Client-facing work happens during US Central business hours.
•     All other work is remote and flexible — we care that milestones are met, not when you work.
