ABOUT THE LIBRARY FOUNDATION

THE OPPORTUNITY

The Data Entry Specialist is responsible for ensuring accurate and timely entry of donor information and donor contributions into the Library Foundation's database. This role plays a key part in supporting fundraising efforts, donor relations, and ensuring the integrity of donor records for effective communication and reporting. This is a part-time role reporting to the Executive Administrator.

KEY RESPONSIBILITIES

  • Accurately input donor data, including contact information, donations, and other relevant details into the donor database.
  • Maintain and update donor records, ensuring they are current and accurate
  • Process donations and pledges in the database, including one-time and recurring contributions.
  • Track pledges, pledge payments, and send pledge reminders to ensure timely follow-up
  • Ensure that donor records are organized and categorized appropriately for reporting and outreach purposes.
  • Ensure the database is organized and managed efficiently.
  • Regularly clean up and deduplicate records to maintain database integrity.
  • Monitor and correct errors or discrepancies in data.
  • Assist in the preparation of donor stewardship reports and communications.
  • Prepare and mail donor acknowledgment letters.
  • Work closely with the development and finance teams to ensure consistency in donor tracking and financial reporting.
  • Support other fundraising initiatives as needed, including event data entry.
  • Maintain confidentiality and security of all donor information, adhering to privacy regulations and best practices.
  • Ensure compliance with data protection and privacy laws.

QUALIFICATIONS

  • High school diploma or equivalent required; Associate degree or higher in a related field preferred.
  • Previous experience with donor databases (e.g., Salesforce, Raiser's Edge, Bloomerang) or data entry in nonprofit settings is a plus.
  • Strong attention to detail and accuracy in data entry.
  • Excellent organizational skills and the ability to manage multiple tasks and deadlines.
  • Strong written and verbal communication skills.
  • Comfortable working with Microsoft Office Suite (Excel, Word, etc.).

PREFERRED SKILLS

  • Experience working in a nonprofit fundraising or development department.
  • Basic knowledge of fundraising processes, donor stewardship, and donor relations.
  • Ability to work independently and as part of a team.
