Job Summary

The Medical Assistant will work as a member of a strong team to provide care for the comfort and well-being of patients. They perform the functions and procedures as identified by the provider. They assist in the delivery of professional medical care to the clinic population in accordance with Allergy Partners policies and procedures. Medical Assistants document assessments, care delivery, patient condition, reactions, and progress, while working as a liaison between providers and patients. Additionally, they provide and reinforce patient and family teaching/counseling as requested by provider and conducts administrative duties that further patient care.

Key Responsibilities

Clinical Support

  • Greets patient and escorts them from the waiting room to exam rooms; prepares patients for exam or treatment; takes vital signs.
  • Provides assistance to physicians when requested.
  • Performs allergy prick testing and/or intradermal testing as ordered by physician.
  • Performs Spirometry and other breathing tests as ordered.
  • Prepares and maintains supplies and equipment for testing and treatment.
  • Performs patient education when appropriate.
  • Administers biologic injections as ordered by physician as allowed by state law and scope of practice.
  • Administers allergy injections to shot patients as set forth on physician approved schedule and as governed by state regulations.
  • MA may obtain blood samples, buccal samples, genetic materials, etc. as ordered by Physician/APP as allowed by state regulations.
  • Monitors patient's medical status for possible adverse reactions following receipt of allergy injection.
  • Maintains emergency equipment, including oxygen, crash cart, etc.
  • Answers patient-related telephone calls and responds according to clinical protocol.
  • Scribe for providers as requested/required by role within the practice.
  • Follows standardized protocols and workflows.
  • Follows up to obtain referrals and insurance authorization as requested and needed.
  • Schedules radiology/lab tests for patients per physician/provider direction.
  • Make referrals to other specialist physicians per physician/provider direction.
  • Maintains clinical supply stock and medication samples.
  • Completes appropriate documentation in patient's electronic medical record to ensure the medical record accurately reflects all services personally provided in accordance with Allergy Partners policies and guidelines.
  • Enters charges for services personally provided in accordance with related Allergy Partners guidelines.
  • Collaborates with patients, colleagues and interdisciplinary team members to achieve desired outcomes.

Business Operations

  • Maintain office operations, including opening/closing protocols
  • Ensure accurate insurance verification, billing, and coding
  • Oversee clinical supply and inventory management
  • Collaborate with physicians on process improvements and provider scheduling
  • Manage daily financial processes including deposits, petty cash, and collections
  • Review accounts receivable reports and ensure timely claims resolution
  • Oversee medical record compliance and release processes
  • Support marketing initiatives and community engagement
  • Prepare and review financial/management reports with physicians and Regional Operations Manager

Other Responsibilities

  • Maintains patient confidentiality; complies with HIPAA and compliance guidelines
  • established by the practice.
  • Maintains detailed knowledge of practice management and other computer software as it relates to job functions.
  • Completes all assigned AP training (such as CPR, OSHA, HIPAA, Compliance, Information Security, others) within designated timeframes.
  • Complies with Allergy Partners and respective hub/department policies and reports incidents of policy violations to a Supervisor/Manager/Director, Department of Compliance & Privacy or via the AP EthicsPoint hotline.
  • Maintain compliance with all policies and procedures, actively participate in enforcement of all ongoing Cybersecurity efforts to ensure safe and secure IT systems for all employees and clients at Allergy Partners. Remain vigilant and aware of new threats and assist the company by fulfilling an active role in observing, enforcement and reporting of cybersecurity incidents, efforts, programs and fulfill required training on a timely basis as required by frequency and due dates.
  • Attends all regular meetings.
  • Performs all other tasks and projects assigned by the Practice Manager.
  • Complies with regulations, policies and procedures in the clinical area, according to all applicable state and federal laws.
  • Reports all incidents accordingly to supervisor, Practice Manager or Compliance Officer as appropriate.
  • May also be cross trained on front office activities such as answering phones, scheduling patients, taking payments, and other administrative activities.

Supervisory Responsibilities

This job has no supervisory responsibilities.

Physical Demands

Position requires full range of body motion including manual and finger dexterity and eye-hand coordination. Involves standing and walking. Employee will occasionally be asked to lift and carry items weighing up to 30 pounds. Normal visual acuity and hearing are required. Employee may work under stressful conditions and be exposed to bodily fluids.

Working Conditions

Employee may have exposure to communicable diseases, toxic substances, ionizing radiation, medicinal preparations, needle sticks and other conditions common to a clinic environment.

Qualifications & Experience

  • A minimum of one year of experience in a medical practice is preferred. Completion of formal education will be taken into consideration.
  • Understanding of OSHA guidelines for ambulatory practices.
  • Understanding of medical record documentation standards.
  • Understanding of medical coding based on the medical record notes to ensure accurate billing.
  • Comfortable using email and interacting with Internet applications.
  • Knowledge of electronic medical records, practice management and word processing software.
  • Good communication skills and interaction with physicians.
  • Neat, professional appearance.

Educational Requirements

High school diploma required.

CMA/RMA from an accredited program or ABR-OE preferred
