Position Summary

The Colonial Parking Legal Department provides legal advice and guidance to all levels of management and oversees a wide range of legal matters. These matters include contract drafting and review, dispute resolution, risk management, contract administration, corporate governance, regulatory compliance, investigations, and litigation.

The Legal Assistant will play a central role in managing the Legal Department’s contract management function, including its related systems, processes, and workflows. This position is ideal for a highly organized and detail-oriented professional who enjoys managing multiple priorities, collaborating with internal stakeholders, and improving administrative processes.

Essential Duties and Responsibilities

  • Manage the Legal Department’s contract request and intake process, as well as each stage of the contract lifecycle.
  • Administer contract-related processes, systems, and workflows, including the contract request system, project-tracking system, and electronic signature platform.
  • Collaborate with business owners and departments such as Accounting, Audit, Business Development, and Operations.
  • Type, edit, format, and proofread documents with a high level of accuracy and attention to detail.
  • Prepare document redlines, convert PDF files into Word documents, and attach exhibits and supporting materials as needed.
  • Track required approvals and route approved contracts for electronic signature.
  • Manage competing priorities and provide timely status updates to business owners and other stakeholders.
  • Prepare monthly, quarterly, and ad hoc reports.
  • Update and maintain departmental files, records, and databases.
  • Coordinate off-site records storage with a third-party vendor.
  • Provide daily administrative support to the General Counsel, Associate Counsel, and Claims and Risk Management Manager.
  • Proactively identify and recommend process improvements that increase efficiency and strengthen departmental operations.
  • Perform other related duties as assigned.

Minimum Qualifications

  • Associate or bachelor’s degree preferred, but not required.
  • At least three years of administrative experience within a corporate legal department, law firm, or similar professional environment.
  • Availability to work approximately 30–40 hours per week, depending on workload.
  • Ability to work in the office at least three days per week.
  • Advanced written and verbal communication skills.
  • Advanced proficiency with Adobe Acrobat and Microsoft Office, including Word, Excel, and PowerPoint.
  • Strong organizational, time-management, and prioritization skills.
  • Ability to meet deadlines and complete assignments with minimal oversight.
  • Excellent proofreading skills and close attention to detail.
  • Positive attitude, eagerness to learn, and willingness to take initiative.
  • Ability to collaborate with others and contribute toward shared goals.
