As a national nonprofit organization, SHP's mission is to educate and empower youth and adults to prevent violence in schools, homes, and communities. Creators of the lifesaving, evidence-informed Know the Signs prevention programs, SHP teaches the warning signs of someone who may be in crisis, socially isolated, or at-risk of hurting themselves or others and how to get help. SHP also advances school safety, youth mental health, and responsible gun ownership at the state and federal levels through nonpartisan policy and partnerships.

Location, Schedule, and Physical Requirements
This is a part-time, in person role based at Promise House in Newtown, Connecticut, averaging 15-25 hours per week, with additional hours during peak periods or staff vacations. Limited remote work may be possible for tasks that do not require onsite presence. Applicants must reside within commuting distance of Newtown, Connecticut.

About the Role
The Office Assistant plays a key role in keeping daily operations running smoothly at Promise House. This part-time position provides administrative, clerical, and customer support assistance to multiple departments, with a focus on mail processing, office coordination, and donor related support.
While some tasks may be completed remotely, the role requires regular in-person work each week at our Newtown, Connecticut office to manage onsite responsibilities such as mail handling, highly confidential scanning, and general office upkeep.
The Office Assistant reports to the Executive Administrator and collaborates closely with the Senior Associate, Revenue and Accounting, as well as other team members across the organization.
Job Responsibilities Include (but are not limited to)
  • Office Administration: Support day-to-day office operations, including sorting checks, making copies, scanning and routing confidential mail, and assisting with basic office maintenance tasks
  • Confidential Document Handling: Maintain strict confidentiality when handling sensitive mail, HR documents, donor information, executive materials, and any other protected or sensitive information.
  • Executive Support Coverage: Provide backup administrative support to the Chief Executive Officer, Co-Founder, and Chief of Staff as needed, including calendaring, scheduling, notetaking, coordinate speaking engagements and media as needed, travel arrangements, and expense reporting; assume full administrative coverage during the absence of the Executive Administrator.
  • Mail Processing Support: Serve as a backup for weekly mail handling, including participating in required two person protocols for opening and processing mail and ensuring the secure, confidential handling of sensitive documents.
  • Special Project Coordination: Help source and purchase gifts as part of employee recognition efforts and coordinate logistics for Senior leadership and org-wide retreats (e.g. bi-annual all staff event), meetings and/or events.
  • Cross Team Collaboration: Work collaboratively with teammates across departments to support shared goals and ensure smooth organizational operations.
  • Data Literacy: Demonstrate a basic understanding of data literacy and a willingness to use and reference data in daily work.
  • Perform additional administrative tasks based on organizational needs.
  • A commitment to SHP's mission and values.
  • Other duties as identified given organizational needs
Desired Skills and Experience
  • Prior experience as an Administrative Assistant, Office Assistant, Receptionist, or in a similar administrative support role, with the ability to communicate professionally and effectively adapt to the needs of employees, donors, and visitors.

  • Experience managing calendars and coordinating schedules using digital tools.

  • Comfortable shifting between tasks and supporting different departments as needs arise.
  • Ability to take clear, accurate notes when supporting meetings or executive needs.

  • Ability to work independently with minimal supervision.

  • Local availability: Resides within commuting distance of Newtown, CT and able to work onsite weekly.
Benefits and Salary Range
This is a part-time role with an hourly rate of $23.56. We will offer an average of 15-25 hours per week with the possibility of additional hours during peak periods or staff vacations. SHP uses a structured internal rubric to guide salary placement and ensure equitable pay and as a practice, we do not negotiate salaries.
