Job description

Position Summary: The Office Assistant is the first point of contact for the office and is also responsible for greeting visitors and dealing with queries from the public and customer and performs other clerical tasks as needed.

Hours: Part Time: Monday through Friday 10 am to 3 pm

Location: Addus HomeCare 1 Chase Corporate Dr Suite 400 Birmingham, AL 35244

Essential Duties:

  • Entering work schedules for field staff
  • Interviewing and completing orientation for new hires
  • Answer all incoming phone calls and transfer calls to the proper department
  • Type meeting notes and using Microsoft Outlook to book meetings and conference rooms as needed by management
  • Distribute and sort mail, collect faxes, and distribute to appropriate department, and prepare overnight letters/packages as directed
  • File documents and correspondence
  • Copy materials and distribute mail/fax/scan documents
  • Order office supplies
  • Assist with data entry
  • Assist with keeping the office organized
  • Documents complaints from employees and clients
  • Help coordinate annual office events
  • Maintains a high degree of confidentiality at all times due to access to sensitive information
  • Maintains regular, predictable, consistent attendance and is flexible to meet the needs of the department
  • Follows all Medicare, Medicaid, and HIPAA regulations and requirements
  • Abides by all regulations, policies, procedures and standards
  • Performs other duties as assigned

Position Requirements & Competencies:

  • GED, High School diploma, and two to three years of related experience required
  • 2 years of experience required
  • Experience with Microsoft Office Suite
  • Computer savvy
  • Excellent oral and written communication skills
  • Ability to multi-task under tight deadlines
  • Strong communication skills and interpersonal skills
