Mercy Community Healthcare has an opening for a part-time Health Record Specialist in Franklin, TN. We are looking for enthusiastic people with a passion for making a difference in the lives of those we serve in our community.  This position provides excellent patient care through processing patient record requests required by Mercy Community Healthcare policy, the Health Insurance Portability and Accountability Act (HIPPA), and maintenance of the patient's medical record.

We provide care to the uninsured, underinsured and insured through pediatric and adult primary care, mental and behavioral health services, and care coordination. 

Essential Duties & Responsibilities:

Review and complete Release of Information (ROI) requests that are received on paper or through the EMR from hospitals, medical service providers, and patients in a timely manner and as required of the Health Insurance Portability and Accountability Act, (HIPAA). Ensure the protection and security of personal, confidential, and identifiable information in a professional and responsible manner and carry out all measures to prevent from unauthorized disclosures., including redacting of sensitive information as requested by patient. 

Communicates with patients, medical professionals, and insurance companies. This includes collaborating with healthcare providers to ensure the accuracy of medical records.

Responsible for medical record phone line and voicemails. Sort and route clinic mail that is delivered.

Review and complete audits received (internal & external) from insurance companies, or route to our BAA for processing audit requests.

Facilitates retrieval, sorting and filing of medical records into appropriate sections of EMR patient records in a timely manner to ensure appropriate follow up care. Assistance with referral loop closure by attaching results to orders.  

Scans and files paper documents and ensures appropriate storage or destruction of paper documents.

Maintain and process faxes received through EMR or through other fax channels to ensure appropriate records are uploaded into the patient’s chart.

Other duties assigned by supervisor as required.

Minimum Qualifications

Education: High School Diploma or GED

Experience: Hospital or physician office experience is preferred but not required. Previous experience in the handling of patient health information, medical records document imaging, and/or medical records is strongly preferred.
