Job Summary:
The Office of Student Life is seeking motivated and dependable Federal Work Study students to serve as Student Life Office & Event Assistants. This student-centered, part-time role provides administrative, customer service, and event support to assist with the planning, promotion, coordination, and execution of Student Life programs and activities.
Student Life Office & Event Assistants contribute to a welcoming and engaging campus environment by supporting daily office operations, assisting with events and student programs, and serving as positive representatives of UTMB. The ideal candidate is organized, professional, flexible, and enjoys working collaboratively in a fast paced, service oriented environment.
Reporting Structure:
This position reports to the Director of Student Life and works closely with Student Life Program Specialists and departmental staff. Student employees may assist with a variety of office, program, and event related functions based on departmental needs.
Job Duties:
Administrative & Office Support
  • Provide general clerical support including filing, scanning, data entry, organizing records, and maintaining office and supply areas
  • Assist students, staff, and visitors with basic inquiries and services
  • Support communication and scheduling efforts using digital platforms and office tools
  • Assist with recordkeeping, reports, and special projects as assigned

Event & Program Support
  • Assist with the setup, operation, and breakdown of Student Life events, including arranging tables, chairs, signage, and equipment
  • Support events on site by welcoming attendees, assisting with logistics, and responding to immediate needs
  • Help promote events through peer outreach, flyers, email, and digital platforms
  • Assist with administrative and communication tasks related to student programs and activities

Facilities & Student Space Monitoring
  • Monitor student spaces to ensure cleanliness, organization, and appropriate placement of furniture and equipment
  • Restock supplies and report facility or equipment concerns as needed

Professional Engagement
  • Serve as a positive ambassador for UTMB and the Office of Student Life
  • Work collaboratively with staff and fellow student employees
  • Attend required trainings, meetings, and orientations
  • Perform other duties as assigned to support departmental initiatives

Preferred Qualifications:
  • Familiarity with campus programs, student organizations, or student engagement initiatives
  • Experience with customer service, office work, or event support
  • Comfortable using basic office technology and online systems
  • Experience working independently and collaboratively to meet deadlines
