Position Summary

The Event Manager will manage every aspect of their assigned events from the advance planning stages through the end of the event and provide professional client services support in the planning, organization, and management of events within the facility. Monitors the logistics of these events and all event coordination tasks after booking and through to their conclusion. Coordinate communication between event staff and delegate assignments and be responsible for and ensure overall customer and lessee satisfaction and experience.

In addition, the Event Manager will work closely with several departments, including Sales, Marketing, Facility Operations, Security, Finance, Human Resources, Venue Partners, and Stakeholders, to strategically plan and successfully execute all event activity.

This role pays an annual salary of $45,000 - $60,000.

About the Venue

The new Regions Arena will anchor a lively downtown Mobile, Alabama, a city that offers world-class accommodations, retail shops, restaurants, museums, parks, and art galleries. The state-of-the-art, 10,000-capacity arena is under construction and scheduled to open in early 2027. It will be home to a minor league hockey team, concerts, family shows, regional and national sports events, community gatherings, and annual Mardi Gras events. It will include a wide range of premium seating and experiences, including suites, clubs, and loge boxes, and include over 27,000 square feet of multi-purpose and pre-event space. 

Responsibilities
  • Advance, plan, service, and supervise all events.
  • Plan, manage, and evaluate the work of subordinates.
  • Provide management and guidance for event personnel.
  • Analyze challenges, identify alternative solutions, and project consequences of proposed actions and implement recommendations in support of organizational objectives.
  • Establish and maintain effective working relationships with lessees/clients, co-workers, part-time staff, contractors, patrons/public, and municipal officials.
  • Work a flexible schedule, including long nights, early mornings, weekends & holidays as needed.
  • Complete all duties with a customer service focus through teamwork & dedication to Oak View Group's principles.
  • Assist in the preparation of building to meet the requirements of upcoming events/shows.
  • Assist with the completion of pre-show event financial estimates.
  • Assist with the completion of post-show event settlements.
  • Advise lessees on services available from independent contractors for events.
  • Recruit, train, and supervise event & security staff.
  • Create work schedules for event & security staff, delegate assignments, and review performance/results.
  • Function as a liaison between users of the facility and the facility staff.
  • Recommend and evaluate required event staffing levels.
  • Coordinate communication between building staff and show staff during load-in and load-out.
  • Investigate and resolve event-related complaints in a professional manner, ensuring customer satisfaction.
  • Maintain equipment (radios, metal detection wands, etc.) for all event and security staff.
  • Make hospitality arrangements as needed.
  • Communicate with municipal officials, including police, fire, and medical services; event staff; and the public to ensure the security of patrons and smooth event running.
  • Review emergency planning procedures with all event staff for each event.
  • Create and distribute detailed data sheets prior to every event.
  • Coordinate service needs with the food and beverage provider & make hospitality arrangements as needed.
  • Serve as Manager on Duty as scheduled.
  • Other duties and responsibilities as assigned.
Qualifications

Education & Experience:

  • Bachelor's degree from a four-year college or university in Event Management, Hospitality Management, or Business.
  • 3-5 years of event management experience or related public relations, hospitality management, business, or related industries.
  • Working knowledge of the principles of facility management, services, and equipment for a similar facility.
  • Experience with budget preparation and control.

  • Strong interpersonal, communication, and presentation skills.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Proficiency in Microsoft Office and Event management software.
  • Strong problem-solving skills.
  • Knowledge of operational characteristics of events.
  • Knowledge of crowd management and control techniques.
  • Knowledge of principles of supervision, scheduling, and training employees.
  • Knowledge of fire and public safety regulations.
  • Proficiency with AutoCad and event layout design software
  • Knowledge of A/V equipment and electronic systems in public assembly facilities.
