Finance Assistant Job Description


Reports To

Operations Manager


Position Summary

The Finance Assistant supports the organization's financial operations by maintaining financial records, processing accounts payable, preparing deposits, and assisting with audit preparation and financial reporting. The position also provides support for dental receivables and insurance claims, and performs general administrative duties to support the Operations Manager and other departments as needed.


Essential Duties and Responsibilities

General Accounting Responsibilities

  • Maintain and organize financial records in accordance with organizational policies and retention requirements.
  • Process accounts payable, including reviewing invoices, obtaining approvals, and scheduling payments.
  • Prepare and record weekly deposits in a timely and accurate manner.
  • Assist with preparation for the annual audit.
  • Generate financial reports as requested by the Operations Manager.
  • Maintain confidentiality of all financial and employee information.

Dental Billing Support

  • Assist with tracking and monitoring dental accounts receivable.
  • Submit and follow up on dental insurance claims.
  • Research denied or unpaid claims and coordinate with dental staff to resolve billing issues.
  • Post insurance and patient payments accurately.
  • Communicate with insurance carriers regarding claim status, eligibility, and payment issues.
  • Assist with Pre-Authorizations for procedures
  • Assist with Monthly reporting.

Administrative Support

  • Assist with contribution entries into the donation database
  • Assist the administrative team with general tasks as needed.


Qualifications

  • Associate degree in Accounting, Finance, Business Administration, or related field preferred.
  • Minimum of 2 years of accounting, bookkeeping, billing, or finance support experience.
  • Experience with insurance claims processing or healthcare billing is preferred.
  • Proficiency in accounting software QuickBooks Online and Microsoft Excel.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Ability to handle confidential information with discretion.
  • Strong problem-solving and communication skills.


Preferred Qualifications

  • Experience working in a nonprofit organization.
    • Familiarity with dental practice management software and insurance billing


Schedule

  • 20 hours per week, with a mutually agreed-upon schedule.
