Job description

Ivy Tech Community College is looking for an individual to join their team as a Part-Time Financial Aid Assistant. In this role, you will provide administrative and customer service support to the Financial Aid Office by assisting students throughout the financial aid process, responding to inquiries, processing documentation, and maintaining accurate records. The ideal candidate is organized, detail-oriented, and committed to delivering excellent customer service while helping students navigate financial aid resources in a fast-paced, student-focused environment.
Hourly Rate: $15.75
Must be available to work 20 hours per week.

Position Summary

The Part-Time Financial Aid Assistant provides essential administrative and customer service support to the Financial Aid Office. This position assists students throughout the financial aid process by responding to inquiries, supporting document collection and processing, maintaining accurate records, and contributing to the efficient operation of the office. The assistant plays a key role in delivering a positive student experience while ensuring compliance with institutional, state, and federal regulations regarding student financial aid and confidentiality.

Essential Responsibilities

  • Image, index, and process financial aid documents while following established procedures to ensure accuracy and compliance.
  • Respond to inquiries from students, parents, faculty, staff, and the public via phone, email, and in person; provide accurate information or refer individuals to the appropriate staff member as needed.
  • Schedule appointments for Financial Aid staff and assist with front-office operations.
  • Assist students in submitting and tracking required documentation needed to complete their financial aid files, including FASFA.
  • Support Federal Work-Study eligibility and enrollment verification processes.
  • Assist with scholarship processing and related administrative tasks.
  • Participate in student outreach efforts through phone calls, email campaigns, text messaging, and in-person events to encourage completion of financial aid requirements.
  • Maintain confidentiality of student records in accordance with FERPA and institutional policies.
  • Assist with general office operations, including filing, data entry, and other administrative support.
  • Perform other duties as assigned that are consistent with the responsibilities of the position.

Education

  • Associate degree preferred.
  • High school diploma or GED equivalent required.
  • Candidates with a high school diploma or GED and at least two (2) years of relevant administrative or office experience will be considered.

Experience

  • Previous administrative or customer service experience required; experience in higher education or a financial aid office is preferred.
  • Familiarity with financial aid processes, student information systems, or higher education operations is preferred.
  • Knowledge of FERPA and the ability to maintain strict confidentiality is strongly preferred.

Knowledge, Skills, and Abilities

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and the ability to learn student information and document imaging systems.
  • Excellent organizational skills with strong attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Exceptional customer service skills with the ability to interact professionally with students, families, faculty, staff, and community members.
  • Ability to prioritize multiple tasks and work effectively in a fast-paced environment.
  • Ability to work independently while contributing positively to a collaborative team.
  • Demonstrated professionalism, discretion, and sound judgment when handling confidential information.
  • Commitment to supporting student success through equitable, accurate, and timely service.

Preferred Qualifications

  • Experience working in financial aid, admissions, registrar, student services, or another higher education office.
  • Experience with student information systems (e.g., Banner, Colleague, PeopleSoft, or similar).
  • Experience with electronic document management or imaging systems.
  • Bilingual or multilingual communication skills are a plus.
