Overview

We are seeking a dependable and organized Office Assistant to support daily office operations and provide administrative assistance across departments. This part-time position (24 hours per week) requires excellent customer service, attention to detail, and the ability to work both independently and as part of a team.

Responsibilities

Reception and Front Desk Support

  • Open and close the building's main entrance
  • Answer and direct incoming calls
  • Greet visitors and issue temporary badges, key cards, and parking validations
  • Maintain reception coverage and a professional front desk environment

Office Operations and Administrative Support

  • Sort and distribute mail and faxes
  • Maintain staff directories, bulletin boards, and library journal subscriptions
  • Schedule company vehicles, parking passes, equipment use, and vendor visits
  • Process invoices and maintain filing systems

Supply and Facility Management

  • Monitor and stock office, conference room, and kitchen supplies
  • Organize supply areas and maintain conference room readiness
  • Replenish copy paper, coordinate copier repairs, and recycle toner cartridges
  • Perform basic maintenance of office coffee machines

General Administrative Assistance

  • Provide administrative support including photocopying, data entry, filing, document preparation, and spreadsheet maintenance
  • Assist with special events, departmental projects, and office communications
  • Collaborate with team members to ensure continuous reception coverage and project completion
Qualifications
