Cedarville University seeks an Administrative Assistant who will provide administrative support to the Marketing and Communications division and The Graduate School. This is a part time, non-exempt position (1240 annual hours) that reports to the Executive Assistant who manages the office operations of both of those areas. The annual hours are to be spread out over 12 months and a hybrid work arrangement may be considered.
ESSENTIAL FUNCTIONS OF THE POSITION:
  1. Manage office operations, including receiving and sending mail, scheduling appointments, taking meeting notes, processing requisitions and credit card statements, answering phones, purchasing supplies, and tracking budgets.
  2. Make travel arrangements for the vice president, including booking appointments, arranging overnight accommodations, and reserving vehicles.
  3. Plan leadership team and division staff meetings, team building events, social activities, and training opportunities, including coordinating catering or other event activities.
  4. Assist with the preparation of division reports and presentations for cabinet, trustee meetings, or other external meetings.
  5. Coordinate division car maintenance (gas, regular oil changes, cleaning, etc.)
  6. Assist the vice president or other leaders within the division with special projects as assigned.

QUALIFICATIONS:
  1. Associate or bachelor's degree preferred, or successful experience in a professional office setting.
  2. Excellent interpersonal communication skills.
  3. Organized and attentive to detail.
  4. Initiates projects; works both independently and as a team player.
  5. Proficient with computer software for offices: Word, Excel, PowerPoint
  6. Trustworthy; able to maintain strict confidentiality and wisely engage with sensitive staff matters.
  7. Understands and appreciates Christian higher education.

REQUIRED MENTAL/PHYSICAL ABILITIES:
  1. Must be able to receive detailed information through oral communication
  2. Must be able to express or exchange ideas by means of the spoken word
  3. Must be able to lift objects up to 20 pounds in weight
  4. Must be able to read and evaluate documentation
  5. Must be able to use and converse on a telephone
  6. Must be able to use a keyboard and computer intermittently throughout a period of four hours.
