Job description

Position Title: Coordinator, Event Sales & Services
Department: 1450 - Sales & Marketing
Classification: PTNOEX - Part-Time Non-Exempt
Employee Type: PTS - PT Team Spec
Direct Report: Manager, Event Services
Position Summary:
The part-time coordinator plays a key role within the Event Sales & Services team, significantly contributing to positive relationships with clients, colleagues, vendors, and volunteers. This position is responsible for day-of event execution, managing and updating essential daily, weekly, and monthly administrative tasks, and supporting the internship program.
Responsibilities:
  1. Event Execution: Act as the lead coordinator for the execution of assigned Public and Private events, overseeing the coordination of an average of 3-5 events per week.
  2. Client & Guest Engagement: Consistently maintain a visible and accessible presence in the event space to engage with the client and event guests. Liaise with clients to identify their needs and to ensure customer satisfaction.
  3. Internship Program: Support the Departmental Internship Program by helping review intern resumes with the events team management, conducting initial phone interviews, and assisting with in-person interviews for final candidates. After interns are selected, the coordinator will aid in their training and ongoing support throughout the program.
  4. Administrative Tasks: Maintain and update crucial daily, weekly & monthly administrative tasks to ensure successful and smooth event operations.
  5. Interdepartmental Collaboration: Work alongside key internal departments and effectively communicate day-of event changes in a timely manner.
  6. Volunteer Management: Skilled in engaging and building rapport with Special Event Volunteers, with a high level of comfort in delegating tasks to volunteers of varying ages.
  7. Problem-Solving Abilities: Proactively identifies and troubleshoot any challenges that arise during an event.
  8. Team Leadership: Serve as an exemplary role model in behavior, performance, and work ethic while working alongside departmental colleagues and teammates.
  9. Customer Service: Delivers extraordinary customer service to all clients, guests, vendors, and colleagues.
  10. Professional Development: Complete continued eLearning courses as needed.
  11. Aids the Event Management Team with any additional tasks as needed to support departmental and organizational strategic goals and objectives.

Qualifications:
  1. Completed or actively working towards a two or four-year college degree, preferably in hospitality or event management field.
  2. Some experience with onsite event coordination is preferred.
  3. Proficiency with Microsoft Office Products.
  4. Excellent written and verbal communication skills.
  5. Must be able to maintain a calm and positive demeanor under pressure.
  6. Exceptional problem-solving, time management, and organizational skills.
  7. Commitment to delivering exceptional customer service and maintaining high standards of professionalism.
  8. Must be able to demonstrate a high level of attention to detail, anticipation of guest needs, ensuring the highest levels of hospitality are reached during all guest interactions.
  9. Must be a self-starter who requires little to no supervision to meet company and departmental goals and possessed the ability to manage multiple projects independently.
