Job description

We are a leading software development firm, currently seeking a highly organized, dependable, and proactive Part-Time Administrative Assistant / Office Coordinator to support the day-to-day operations of our Montreal office.

This is an ideal opportunity for someone who enjoys keeping things organized, takes initiative, and is comfortable managing a variety of administrative and office coordination responsibilities. The successful candidate will be a reliable point of contact for staff, management, building management, vendors, and service providers, helping ensure that the office runs smoothly and efficiently. 


Key Responsibilities:


Office Administration & Operations

  • Support the day-to-day administrative operations of the Montreal office.
  • Maintain a professional, organized, and welcoming office environment.
  • Coordinate the ordering, delivery, and tracking of office supplies, equipment, and basic IT hardware.
  • Manage mail, deliveries, parking arrangements, office access, and other general office logistics.
  • Serve as a primary point of contact for building management, suppliers, and external service providers.
  • Ensure office services and facilities are maintained efficiently and issues are followed through to resolution.

Finance & Administrative Support

  • Assist with processing invoices, expense tracking, and payment follow-ups.
  • Follow up on invoices, deposits, and outstanding payments.
  • Coordinate with accountants and management on basic financial and administrative matters.
  • Maintain organized records and documentation related to office operations and expenses.

Team & Management Support

  • Provide general administrative support to management and staff as required.
  • Assist with internal communications and coordination.
  • Help plan and coordinate office activities, staff events, meetings, and other internal initiatives.


Qualifications

  • Fluent in both French and English, both written and spoken.
  • Previous experience in administration, office coordination, office management, or a similar support role.
  • Highly organized with strong attention to detail and the ability to manage multiple priorities.
  • Strong verbal and written communication skills.
  • Professional, approachable, and service-oriented.
  • High level of discretion and professionalism when handling confidential information.
  • Proficiency with Microsoft Office and/or Google Workspace.

Work Arrangement

This is a part-time position of approximately 16–24 hours per week, with a regular in-office presence required at our Montreal location.

Responsabilités principales:


Administration et opérations du bureau

  • Soutenir les activités administratives quotidiennes du bureau de Montréal.
  • Maintenir un environnement de travail professionnel, organisé et accueillant.
  • Coordonner la commande, la livraison et le suivi des fournitures de bureau, de l’équipement et du matériel informatique de base.
  • Gérer le courrier, les livraisons, les arrangements de stationnement, l’accès au bureau et autres aspects liés à la logistique du bureau.
  • Agir à titre de principal point de contact auprès de la gestion de l’immeuble, des fournisseurs et des prestataires de services externes.
  • Veiller à ce que les services et les installations du bureau soient maintenus efficacement et assurer le suivi des demandes et des problèmes jusqu’à leur résolution.

Soutien financier et administratif

  • Participer au traitement des factures, au suivi des dépenses et aux suivis de paiements.
  • Effectuer le suivi des factures, des dépôts et des paiements en suspens.
  • Coordonner avec les comptables et la direction les questions financières et administratives de base.
  • Tenir à jour des dossiers et documents bien organisés liés aux opérations et aux dépenses du bureau.

Soutien à l’équipe et à la direction

  • Fournir un soutien administratif général à la direction et aux employés, selon les besoins.
  • Participer aux communications internes et à la coordination des activités.
  • Contribuer à la planification et à la coordination des activités du bureau, des événements pour les employés, des réunions et d’autres initiatives internes.


Qualifications

  • Maîtrise du français et de l’anglais, à l’oral comme à l’écrit.
  • Expérience antérieure en administration, coordination de bureau, gestion de bureau ou dans un rôle de soutien similaire.
  • Excellentes capacités d’organisation, grand souci du détail et aptitude à gérer plusieurs priorités simultanément.
  • Excellentes compétences en communication orale et écrite.
  • Professionnalisme, approche courtoise et sens du service.
  • Grande discrétion et professionnalisme dans la gestion de renseignements confidentiels.
  • Bonne maîtrise de Microsoft Office et/ou Google Workspace.

Conditions de travail
