How does a part time controller balance multiple clients or entities, and what time management strategies are helpful?

A part-time controller often works with several clients or manages multiple business units, requiring strong organizational and communication skills. Effective controllers prioritize tasks based on deadlines and financial cycles, use cloud-based accounting tools to streamline workflows, and maintain clear documentation for each client. Regular check-ins with client leadership and proactive planning help prevent bottlenecks and ensure accuracy. Time management strategies such as batching similar tasks and setting dedicated hours for each client can greatly improve efficiency and client satisfaction.

What are the key skills and qualifications needed to thrive as a part time controller?

To thrive as a Part Time Controller, you need strong expertise in accounting principles, financial reporting, and budget management, usually backed by a degree in accounting or finance and experience in financial leadership roles. Familiarity with accounting software (such as QuickBooks or NetSuite), ERP systems, and often a CPA or CMA certification is important. Excellent organizational, analytical, and communication skills are crucial for managing priorities, interpreting data, and advising stakeholders. These skills ensure accurate financial oversight, regulatory compliance, and effective strategic support for the organization's goals.

How to become a part time controller?

Job description

Part-Time Surgical Prior Authorization & Administrative Coordinator:
This position will help manage the non-clinical, administrative, and financial aspects of surgical scheduling, imaging, and patient care. It is a great position for someone highly organized, dependable, detail-oriented, proficient in navigating computer technology/EMR systems, who has great interpersonal communication skills and can manage many moving pieces at once.

You’ll help with:
• Managing surgical authorizations:
Complete surgical prior authorization submissions and maintain payer-specific documentation requirements.
• Coordinating logistics:
Track authorization timelines, approval numbers, expiration dates, resubmission requirements, and communicate with facilities.
• Processing imaging requests:
Handle prior authorizations for MRI and CT scans, submit clinical evidence, and manage peer-to-peer coordination.
• Navigating patient finances:
Conduct phone calls to review insurance benefits, expected out-of-pocket costs, and complete financial consent processes.
• Organizing medical records:
Obtain preoperative clearances, secure external documentation, and maintain complete records for clinical staff review.
• Streamlining office workflow:
Schedule pre-op and postoperative appointments while providing necessary payment documentation to the front office.
• Controlling quality:
Utilize standardized checklists to reduce denials, track pending authorizations, and monitor insurance denial trends.

Medical office or insurance experience is helpful, but it is not required. We can teach the medical and insurance side of the position. What we really need is someone who is organized, learns quickly, follows through, and takes ownership of their work.

Experience in pharmacy, dental or medical offices, insurance, scheduling, retail management, inventory, order fulfillment, or similar work could translate very well to this position.
