Busy, high-end residential general contractor seeking an experienced, detail-oriented part-time construction accounting and administrative professional to join our small team, with the potential for the position to grow into full-time employment.
The core of this position is bookkeeping, job costing, bank and credit card reconciliations, payables, invoicing, and financial record keeping. Because we are a small, collaborative office, the right person will also be comfortable pitching in with project administration, material ordering, compliance tracking, phone coverage, and other day-to-day office needs.
This is a good fit for someone who takes pride in keeping the numbers accurate and also enjoys contributing to the broader work of the office and team.
Construction office or construction-industry experience is required.
Schedule: Monday–Friday, 1:00–5:00 PM
Pay: $22–$35 per hour, commensurate with experience
Status: Part-time, with the potential to grow into full-time employment
Location: In-office in Yonkers
Primary Responsibilities
Accounting and Job Costing
- Maintain accurate bookkeeping and job-costing records in Xero
- Reconcile bank and credit card accounts and investigate discrepancies
- Enter and code vendor and subcontractor bills
- Manage accounts payable and assist with payment preparation
- Prepare customer invoices and accounts-receivable reports
- Track project costs and identify missing or inconsistent information
- Assist with estimates using management-provided calculations
- Refer to QuickBooks Desktop for historical records as needed
- Enter daily payroll information
Construction and Project Administration
- Source and order construction materials
- Maintain project files, correspondence, and documentation
- Track subcontractor insurance certificates
- Monitor permit and license renewals
- Maintain employee and compliance records
General Office Support
- Assist with emails, phone calls, mail, and routine correspondence
- Communicate with field employees, subcontractors, suppliers, and customers
- Serve as a secondary point of contact when other team members are unavailable
- Pitch in where needed to keep the office and active projects moving
You’re a Strong Fit If You:
- Have bookkeeping or accounting experience within a contractor or construction business
- Understand account reconciliation, job costing, accounts payable, invoicing, and basic A/R reporting
- Know construction terminology, materials, and ordering basics
- Are comfortable balancing focused accounting work with broader office responsibilities
- Are highly accurate and attentive to detail
- Stay calm, organized, and proactive in a fast-moving environment
- Follow through without needing constant supervision
- Communicate professionally with customers, vendors, subcontractors, and employees
- Know Xero or are comfortable learning it quickly
