Administrative Assistant
Location: Troy, NY
 Job Type: Full-Time
 Schedule: Monday?Friday, 8-hour shifts
 Pay Rate: $21.00?$26.00 per hour
Position Summary
The Administrative Assistant provides administrative, data management, clerical, and customer service support to the assigned department. This position is responsible for maintaining accurate information across multiple database systems, preparing and communicating reports, supporting time and attendance functions, conducting research, and assisting staff and students with routine inquiries and administrative needs.
The ideal candidate is organized, detail-oriented, comfortable working with multiple computer systems, and able to manage responsibilities independently while providing professional customer service.
Schedule
Full-time employees will work Monday through Friday, with an 8-hour workday. Depending on the department, the schedule will be either:
  • 8:00 AM?4:30 PM, including a one-hour lunch
  • 8:30 AM?5:00 PM, including a one-hour lunch
The exact schedule will be specified in the individual position assignment.
Part-Time Opportunity: Part-time positions may also be available and will total approximately 19 hours per week. Daily hours will vary based on the needs of the assigned department and will be specified in the individual job description.
Key Responsibilities
  • Maintain, update, and accurately input data into multiple database systems.
  • Extract, organize, and curate information from multiple databases into clear and understandable reports with minimal oversight.
  • Perform data entry and maintain accurate electronic and paper records as required.
  • Utilize knowledge of time and attendance processes to assist with tracking and reporting.
  • Develop, prepare, and communicate reports, procedures, and policies for the assigned department and other departments as needed.
  • Perform routine administrative, office, and clerical duties to support daily departmental operations.
  • Provide administrative assistance to other departments and staff as assigned.
  • Research information and assist staff with research, analysis, and development activities.
  • Respond to routine questions and requests from students, staff, and other internal customers.
  • Provide professional, courteous, and timely customer service.
  • Maintain confidentiality and exercise sound judgment when handling departmental information.
  • Assist with special projects and other duties and responsibilities as assigned.
Qualifications
  • Associate's Degree in Business Administration, Computer Science, Computer Information Systems, or a related field.
  • 1?3 years of experience in a related administrative, data management, office support, or business systems role.
  • Experience working with multiple database systems and entering or updating information accurately.
  • Ability to extract, organize, and present data in a clear and understandable format.
  • Knowledge of time and attendance processes and systems.
  • Strong organizational and attention-to-detail skills.
  • Ability to conduct research and assist others with research and development activities.
  • Strong written and verbal communication skills.
  • Excellent customer service skills and the ability to interact professionally with students, staff, and other stakeholders.
  • Ability to work independently with limited supervision while also collaborating effectively with a team.
  • Proficiency with standard office technology and computer applications.
