Primary Function:

The Administrative Assistant will be responsible for the overall maintenance of the office performing all administrative duties as well as be the first person of contact for clients.
This is a part-time position, Monday–Friday, 8:00 AM–1:00 PM.

Primary Responsibilities

Office & Project Administration

  • Order supplies/equipment for office and field; coordinate printer/copier repairs
  • Set up and maintain client accounts, verifying billing and contact accuracy
  • Review project intake forms; schedule new projects and update staff/calendars
  • Distribute purchase orders and maintain digital project files with all correspondence
  • Answer and log incoming calls; participate in assigned call queue coverage.
  • Handle mail/shipping (USPS, FedEx, UPS), subpoenas/depositions, and litigation file close-outs

Facilities & Logistics

  • Keep office, storage, and warehouse areas clean, organized, and labeled
  • Supply pick-up/drop-off at the lab

HR & Staff Support

  • Track employee certifications, training, and medical evaluations
  • Assist with new hire onboarding and basic task training
  • Book employee travel/hotel reservations; track and submit expense reports weekly
  • Coordinate with insurance provider on certificate requests
  • Assist accounting with weekly customer service calls/emails

Events & Office Culture

  • Plan office celebrations (birthdays, holidays, milestones, BBQs, recognition events)

General Support

  • Assist Local Director and IT as needed
  • Support staff presentations/courses (copies, packets, supplies, room setup)

Qualifications

  • 2–3 years of relevant administrative experience
  • Strong professional verbal and written communication skills
  • Comfortable working with clients and coworkers across all levels
  • Highly organized, self-directed, and able to manage time with minimal supervision

Physical & Work Requirements

  • Ability to lift up to 30 pounds.
  • Prolonged periods of sitting at a desk and working on a computer for documentation and reporting
  • Valid driver’s license, reliable transportation, and current auto insurance
