They work closely with healthcare providers, insurance carriers, attorneys, and patients to coordinate services that improve recovery outcomes and streamline the workers' compensation process.
We are seeking a Part-Time Billing & Operations Coordinator to support billing administration, patient coordination, insurance follow-up, and operational processes. This role combines administrative responsibilities with patient-facing interaction and is ideal for someone who is highly organized, detail-oriented, and passionate about helping others. The position offers scheduling flexibility along with the potential to grow into a full-time opportunity as the organization expands.
Job Description
The Part-Time Billing & Operations Coordinator will support day-to-day billing, claims management, patient communication, and operational activities. The role requires maintaining accurate records, coordinating with insurance carriers and referral partners, tracking authorizations, and providing exceptional support to patients throughout their recovery journey.
Responsibilities
  • Receive and review orders from referral sources.
  • Upload and maintain patient documentation, including prescriptions, diagnosis codes, and demographic information.
  • Verify the completeness and accuracy of patient, insurance, claim, and employer information.
  • Enter orders and billing information into designated billing systems.
  • Obtain and track insurance authorizations and pre-authorizations.
  • Follow up with insurance carriers regarding pending, delayed, or denied authorizations.
  • Confirm delivery of medical devices to patients.
  • Submit claims and monitor claim status through the billing process.
  • Resolve claim rejections and coordinate resubmissions as needed.
  • Maintain accurate patient records and documentation while handling sensitive information confidentially.
  • Manage inventory tracking and coordinate replenishment orders.
  • Calculate and document monthly commission information for clinical team members.
  • Provide patient education and support related to medical recovery devices.
  • Assist with customer service inquiries and maintain positive relationships with patients, providers, insurers, and attorneys.
  • Support additional operational and patient service activities as business needs evolve.
  • Communicate effectively with team members and leadership both verbally and in writing.

Qualifications
Required
  • High school diploma or equivalent.
  • Previous experience in administrative, billing, healthcare support, customer service, or operations coordination roles.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage sensitive and confidential information professionally.
