Overview

Reporting to the Registrar, the Associate Registrar is responsible for the day-to-day administration of the Office of the Registrar and Records, including coordination and supervision of support staff, resolution of student record related issues, special program registration, and support of appropriate functions related to Veterans Affairs and One Stop.

Responsibilities

Job Duties and Responsibilities

  • Under direction of the Registrar, coordinate and manage the operational activities of the department. Provide direct supervision to Enrollment Specialists, Part-time Clerical and Student Worker staff; including management of schedules, day-to-day activities and coordination of Enrollment Specialist staff to support specialized programs such as Admitted Student Day, and other enrollment and engagement initiatives. Interview, select, train, evaluate, and monitor the performance of support and part-time staff.  
  • Coordinate, interpret and report required data to the Department of Veterans Affairs related to GI Bill benefits including enrollment/tuition and fees submission, reporting of academic standing and graduation status and required annual State Approving Agency Audit materials. Provide advice and functional oversight to the Veterans Center Associate, and students, with interpreting complex questions related to GI Bill benefits and external Veteran related resources. Maintain liaison with appropriate community groups and government agencies including the Department of Veterans Affairs, State Approving Agency, County Veterans Programs, and civic and fraternal organizations.  
  • Oversee the maintenance of student records including verification of student enrollment, course registration adjustments, interpretation of student academic standing and GPA calculations, and ensuring that student privacy is upheld as it relates to information requests from College staff and other third parties. Serve as point of contact for student FERPA waiver requests and processing. 
  • As a member of the administrative team in the Office of the Registrar and Records recommend changes to processes/new activities to support the efficient operation of the office, implement new initiatives, and support College driven and external agency directives. Serve as Ex-Officio on Academic Council Governance Standing Committee.  
  • Coordinate and monitor student registration for special programs such as Study Abroad, High School programs, Exchange and Technical Education and other Non-Credit/Credit programs. Where appropriate, create courses and register students, maintain official transcripts and post grades to student records and update student degree audit information to account for course substitutions and applicable degree credits.  
  • Coordinate and process Drop for Non-Payment including creation of drop calendar, outreach to students, and coordination with appropriate Student Services/Finance offices.  
  • Maintain current knowledge of the College and external agencies, policies, regulations and procedures relevant to the records and registration process including the Family Education Rights and Privacy Act (FERPA), Chargeback, State Immunization and Health Requirements, and other appropriate Federal, State and College regulations and legislation. Update the information, interpret/clarify, and provide training to the staff as necessary.   
  • Support Registrar in review of semester Master Schedule, Reporting Years and Terms (RYAT) screen creation, Priority Registration communications and related tasks.  
Qualifications

Minimum Qualifications & Experience Requirements

  • Bachelor's Degree.
  • Master's Degree preferred.
  • Three years of experience in registration or related field.
  • Experience with an integrated database required. (Ellucian Colleague preferred).
  • Experience in a community college or higher education sector preferred.

  • Must be able to travel locally.

  • Knowledge of Monmouth County and its communities.
