Job description

St. Joseph School in Cockeysville is seeking a part-time Bookkeeper for the 2026-2027 school year. This experienced accounting professional will assist the Principal in the stewardship of the school's finances, including budgeting, payroll, tuition management, accounting, and financial reporting, in accordance with Archdiocesan policies and guidelines. The Bookkeeper serves in a key financial support role to the Principal and School Board. This position ensures that the school's financial records are maintained accurately and that financial statements provide timely and reliable information to support decision-making.
Essential Functions
  • Responsible for managing and, when necessary, enhancing the school's financial and accounting systems, controls, and policies.
  • Ensures compliance with the school's internal control structure and verifies that controls are functioning effectively.
  • Oversees FACTS Tuition Management and the school's Grant & Aid system. Generates timely and accurate reports from FACTS to record revenue transactions.
  • Posts all deposits using a deposit log or electronic bank statement. Reconciles deposit slips for other revenue with the deposit log.
  • Oversees the tuition collection process, including preparing monthly reports on delinquent accounts and assisting with necessary communications to families with outstanding balances.
  • Obtains supporting documentation for all school expenditures and oversees the entry of invoices and reimbursement requests through the Bills feature in QuickBooks Online. Prints checks for review and signature and maintains a complete vendor filing system organized by year and vendor name.
  • Maintains accurate and complete financial records, filing systems, and general ledger accounts.
  • Completes month-end closing procedures and account reconciliations in a timely manner.
  • Prepares timely and accurate monthly financial, budget, and statistical reports; monitors performance and documents variances for school leadership.
  • Assists in the preparation of annual budgets and financial forecasts.
  • Supports audits and ensures compliance with Archdiocesan policies, procedures, and reporting requirements.
  • Maintains the confidentiality of all financial, employee, and student information.

Position Qualifications
  • Bachelor's degree (BA/BS) in Business, Accounting, or a related field, with seven or more years of relevant experience or an equivalent combination of education and experience preferred.
  • Experience handling confidential and sensitive matters with tact, professionalism, respect, and discretion required.
  • Demonstrated proficiency in relevant computer applications and technology skills.
  • Strong oral and written communication skills.

Pay Range: $18.00 - $24.00, Hourly
