JOB SUMMARY:
The Jazz Youth Scheduling Coordinator is responsible for creating, managing, distributing and adjusting schedules for Utah Jazz Youth Programs, including Jazz Bantam leagues and tournaments, Lady Notes leagues and tournaments, 3v3 tournaments, and other youth programming as assigned. This part-time seasonal position requires a highly organized and detail-oriented individual who can manage large-scale scheduling needs, adapt quickly to changes, and communicate updates effectively.
The ideal candidate is comfortable working in a fast-paced environment, solving scheduling challenges on the fly, and ensuring schedules remain accurate and organized throughout the season. This individual will become proficient in the scheduling platform and work closely with staff, partners, coaches and program participants to support successful program execution.
In addition to scheduling responsibilities, the Scheduling Coordinator will assist with Youth Programs events and initiatives, including Junior Jazz parties, tournaments, camps and clinics, and other department events. This position averages approximately 20 hours per week, with increased hours during peak scheduling periods throughout the Jazz season. The position will primarily run September through March, with opportunities to assist with special events and tournaments throughout the year.
DUTIES & RESPONSIBILITIES:
Scheduling Operations
  • Create, manage, and maintain schedules for Jazz Youth programs, including Jazz Bantam, Lady Notes, 3v3 tournaments, and other leagues or events.
  • Utilize scheduling software to build and update league and tournament schedules.
  • Ensure schedules are accurate, balanced, and aligned with facility availability and program requirements.
  • Make schedule adjustments as needed due to facility changes, team requests, weather impacts, or other unforeseen circumstances.
  • Communicate schedule updates and changes to staff, partners, participants, officials, and other stakeholders.
  • Monitor scheduling conflicts and proactively identify solutions.
  • Maintain scheduling records, reports, and documentation.

Program Administration
  • Support administrative tasks related to Youth Programs.
  • Assist with data entry, reporting, and program organization.
  • Maintain accurate records and information across scheduling platforms and databases.
  • Respond to scheduling-related inquiries from participants, coaches, and partners.

Event Support
  • Assist with planning and execution of Junior Jazz parties and special events.
  • Assist with camps, clinics, tournaments, and community events as needed.
  • Help with event setup, breakdown, registration, and participant engagement.
  • Support large-scale events and other Youth Programs initiatives.

Customer Service & Partner Relations
  • Provide exceptional customer service to participants, families, coaches, officials, facility partners, and school or recreation partners.
  • Build and maintain positive relationships with program stakeholders.
  • Serve as a positive representative of the Utah Jazz and Smith Entertainment Group.

QUALIFICATIONS:
Required Qualifications
  • High school diploma or equivalent required; college coursework or degree preferred.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency in Google Workspace and Microsoft Office Suite.
  • Ability to learn and effectively utilize scheduling and league management software.
  • Strong problem-solving and critical-thinking skills.
  • Ability to work independently while contributing to a team environment.
  • Availability to work flexible hours, including evenings and weekends as required by events and scheduling demands.
  • Must be at least 18 years of age.
  • Must possess a valid Utah driver's license.
  • Must be able to pass a Motor Vehicle Report (MVR) screening in accordance with company policy and insurance requirements.

Preferred Qualifications
  • Experience with league, tournament, event, or recreation scheduling.
  • Experience working with scheduling, registration, or sports management platforms.
  • Experience in youth sports, recreation, event operations, or customer service.
  • Passion for youth sports and community engagement.
