ACCOUNTS PAYABLE ASSOCIATE
REPORTS TO: Accountant, Office Manager
MAJOR RESPONSIBILITIES: The Accounts Payable Associate supports the accounting department by accurately processing vendor invoices, maintaining accounts payable records, and other accounts payable tasks. The ideal candidate is organized, dependable, and able to manage multiple priorities while maintaining a high level of accuracy and confidentiality in a fast-paced environment.
ESSENTIAL FUNCTIONS & TASKS:
  • Receive, review, and process vendor invoices for accuracy and proper approval.
  • Match invoices with purchase orders and receiving documentation.
  • Reconcile invoice discrepancies in a timely manner.
  • Maintain accurate and organized accounts payable files and records.
  • Respond to vendor inquiries regarding payments, invoices, and account status.
  • Enter and maintain vendor information within the accounts payable programs.
  • Ensure compliance with company policies, accounting standards, and internal controls.
  • Maintain confidentiality of financial and other information.
  • Perform all other duties as assigned.

Requirements
REQUIREMENTS:
  • Associate degree in Accounting, Business Administration, Finance, or a related field, or equivalent combination of education and relevant experience required.
  • Previous experience in accounts payable, bookkeeping, or general accounting preferred.
  • Proficiency with Microsoft Office, particularly Excel.
  • Experience with accounting or ERP software preferred.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and exercise sound judgment.

PHYSICAL REQUIREMENTS:
  • Ability to work in a stationary position, often standing or sitting for prolonged periods of time
  • Ability to perform repeating motions that may include the wrists, hands, and/or fingers
  • Ability to use upper and lower extremities
  • Occasionally lift/move up to 50 pounds
  • Ability to traverse uneven terrain, including loose pack gravel

MENTAL REQUIREMENTS: Normal level of visual acuity needed. Must be able to understand and follow directions. Normal hearing level needed. Hand-eye coordination required.
HAZARDS: Weather, fumes, high noise levels, moving mechanical parts, equipment, and vibration.
