Job Title: Accounts Payable & Administrative Assistant
Job Description
A construction company is seeking a dependable and detail-oriented Accounts Payable & Administrative Assistant to support daily accounting and office operations. In this role, you process vendor invoices, maintain organized financial and office records, and provide administrative support while serving as a key point of contact for incoming calls and office inquiries. This position is ideal for someone with accounts payable experience who enjoys working in a fast-paced construction environment and is looking for a part-time schedule.
Responsibilities
- Process approximately 30 vendor invoices per week accurately and efficiently.
- Review invoices for proper coding, approvals, and supporting documentation to ensure compliance with internal procedures.
- Enter invoices into the Viewpoint Vista ERP system and verify that entries are complete and accurate.
- Maintain organized accounts payable records and vendor files, both physical and electronic.
- Assist with vendor inquiries and help resolve invoice discrepancies in a timely and professional manner.
- Support month-end accounting activities related to accounts payable as needed.
- Answer and direct incoming phone calls professionally, providing helpful and courteous customer service.
- Perform data entry and maintain accurate company records related to accounting and general office functions.
- File invoices, contracts, and other office documents to ensure easy retrieval and proper documentation.
- Scan, copy, and organize paperwork and electronic files to support efficient office operations.
- Assist management with general administrative and clerical tasks, including preparing documents and correspondence.
- Support office operations and special projects as assigned, contributing to a smooth and efficient work environment.
Essential Skills
- At least 2 years of accounts payable, bookkeeping, or administrative experience.
- Demonstrated experience with invoice processing and accounts payable functions.
- Strong data entry accuracy and attention to detail.
- Proficient 10-key data entry skills.
- Strong organizational and time management abilities to handle multiple tasks and deadlines.
- Comfortable answering phones and interacting professionally with vendors and customers.
- Proficiency with Microsoft Office, particularly Excel and Outlook.
- Ability to work effectively in a fast-paced construction environment.
Additional Skills & Qualifications
- Experience in the construction industry.
- Experience using Viewpoint Vista ERP.
- Understanding of accounts payable processes, invoice coding, and vendor management.
- Interest in a part-time role that complements school or other commitments.
Work Environment
This is an onsite, part-time position based in a construction office environment. You work on-site two days per week, typically from 8:00 a.m. to 5:00 p.m., with Tuesday and Thursday preferred but flexible based on mutual agreement. The role involves frequent computer use, data entry, and work within the Viewpoint Vista ERP system and Microsoft Office applications. You will spend time handling paper documents, filing, scanning, and organizing both physical and electronic records, while regularly interacting with vendors, customers, and internal team members by phone and in person. The environment is fast-paced and collaborative, offering a supportive setting that is well-suited for someone in school or seeking part-time work.

This is a Contract position based out of Lodi, CA.
Pay and Benefits
The pay range for this position is $19.00 - $25.00/hr.
