Graduate Student Administrative Assistant


Locations: Eden Hall, Shadyside


Reports to: Director of Academic Operations


Position Summary:The Student Administrative Assistant provides part-time administrative and operational support to the Dean's Office, with a primary focus on visitor experiences, College events, and supplemental operational needs that support the College's presence across both campuses. This role extends the capacity of the Director of Academic Operations and Program Assistant by assisting with admissions-related activities, external tours, large-scale events, communications, and routine administrative tasks that contribute to a welcoming and well-coordinated College environment.


Primary Responsibilities:

  • Part-time position (20 hours/week) and dependent on being filled each academic year
  • Supports admissions-led events and recruitment activities by partnering with the ELM Admissions Recruiter to assist with prospective student visits, admissions events, and campus tour experiences. Serves as a Dean's Office ambassador by coordinating and providing guided Eden Hall Campus tours for external stakeholders, including paid tour experiences, ensuring visitors receive a welcoming and informative introduction to the College and campus
  • Provides event support for larger College activities, including New Student Orientation, graduation celebrations, admissions events, and other high-volume events requiring additional administrative coordination
  • Provides event logistics support in coordination with the Director of Academic Operations and Program Assistant, including catering orders, IT tickets, Facilities setup requests, flyer creation, event materials, and other project details as assigned
  • Supports management of incoming correspondence through the official ELM College email account, including routing inquiries and distributing campus-wide communications as needed
  • Adds academic and student-led event information to Localist to support College communications and event visibility
  • Manages mail and packages at both the Shadyside and Eden Hall campus locations, including notifying individuals when packages arrive and assisting with distribution
  • Creates training tutorials and process walkthroughs to support continuity and onboarding for future Student Administrative Assistants
  • Participates in a brief performance review each semester in collaboration with the Director of Academic Operations

All current student employees should notify their other manager(s) if you work multiple jobs on campus at the same time. Additionally, students may not work more than 20 hours per week (combined between all campus jobs) during the academic year. Students may not exceed 980 work hours per calendar year.

Student jobs do not automatically roll over to the next academic year or summer.
