Data and Operations Coordinator


Location: Jupiter, FL. Part-time position with the potential to grow into full-time. The role is expected to begin in-office; a hybrid schedule may be considered after training based on job performance and business needs.

Arctic Fox Cooling is a growing South Florida HVAC company serving homeowners throughout Jupiter, Cutler Bay, and the surrounding communities. Our reputation is built on honest recommendations, dependable service, and doing what is right for the customer. As we grow, we need a detail-oriented professional who can keep our operational data accurate, organized, and useful.


We are seeking a highly organized Data and Operations Coordinator to manage internal tracking, maintain KPI dashboards, verify information, and support administrative processes. This is not a bookkeeping or accounting position. The ideal candidate enjoys working with spreadsheets, notices inconsistencies quickly, and can turn raw operational information into clear, reliable reports.


Key Responsibilities

  • Collect and organize operational data from ServiceTitan and other company systems.
  • Update and maintain KPI dashboards, spreadsheets, and internal trackers.
  • Review information for accuracy, completeness, and consistency.
  • Identify missing or incorrect data and coordinate necessary corrections.
  • Prepare recurring performance and operational reports for leadership.
  • Track service, sales, conversion, productivity, and other company metrics.
  • Maintain organized digital records and supporting documentation.
  • Prepare and process permit applications and related documents online.
  • Monitor permit status and follow up on outstanding requirements.
  • Help improve data-entry, reporting, and administrative processes.
  • Support additional operational projects as the position grows.

Qualifications

  • Previous experience in data entry, reporting, administrative support, or operations coordination.
  • Strong proficiency in Microsoft Excel or Google Sheets.
  • Experience creating and maintaining dashboards, trackers, or recurring reports.
  • ServiceTitan experience is preferred but not required.
  • Exceptional attention to detail and commitment to accuracy.
  • Comfortable working with numbers, metrics, and large amounts of information.
  • Strong organizational and time-management skills.
  • Ability to identify discrepancies and follow through until they are corrected.
  • Effective written and verbal communication skills for preparing reports, coordinating corrections, and communicating with team members.
  • Dependable and capable of working independently.
  • Experience with online permit processing is an advantage.

Pay and Benefits

  • Part-time, W-2 employment.
  • Pay range: $18.00 - $24.00 per hour, based on relevant experience and technical proficiency.
