Role and Responsibilities
As the initial point of contact with new clients, the Intake Specialist plays a vital role in the Firm’s legal operations. This role requires exceptional communication skills, empathy, and professionalism. The Intake Specialist will gather essential information, build rapport with new clients, and ensure a smooth transition into the Firm’s case management pipeline
Responsibilities will include:
  • Serve as the initial point of contact with new clients via phone and email inquiries.
  • Conduct thorough intake interviews to collect relevant facts related to the client’s case.
  • Explain the Firm’s services, intake process, and next steps clearly and professionally.
  • Accurately document all case related facts, supporting evidence, and keep all information organized throughout the onboarding process.
  • Enter intake data into the Firm’s case management system (CMS) timely, accurately, and efficiently.
  • Ensure clients feel supported, informed, and valued throughout the intake process.
  • Work closely with attorneys, paralegals, and legal assistants to transition cases smoothly.
  • Additional duties as assigned.
Desired Skills and Qualifications
  • The successful candidate should have the following qualifications:
  • Proficient in English (oral and written); bilingual (English/Spanish or other language) beneficial.
  • Proficient inquiry and active listening skills.
  • Effective communication skills and demonstrated ability to engage with empathy.
  • Familiarity with legal and/or medical terminology.
  • High attention to detail and accuracy.
  • Good organizational and multi-tasking abilities.
  • Problem-solving skills.
  • Ability to stay calm and employ compassion when speaking with emotional individuals.
Education and Experience
  • Three (3) years of experience in a customer-service focused role at a law firm or call center.
  • Ability to manage high call volumes and multitask in a fast-paced environment.
  • Experience with legal case management systems (CMS) (e.g., Litify, Needles).
  • High School diploma or equivalent required; additional qualifications beneficial.
  • Experience with Microsoft Office applications, specifically Outlook, Word, Excel, and PowerPoint.
