POSITION SUMMARY
This position administers a variety of Tribal social service and emergency-related assistance programming, as well as the local Rental Housing Program. The Programs Coordinator is responsible for effectively communicating with program applicants and participants and fielding and processing all manner of program-related correspondence. Additionally, this position will involve high-level administrative support to the Housing Director; research and prepare statistical reports and archive application files and other sensitive information.
ESSENTIAL FUNCTIONS
  1. Regular and frequent communication with program applicants and participants; prepare, processes, and distribute standard program documents, such as form applications and supporting material, requests for information, determination notices, assistance authorizations, vendor receipts, and rental premium notices.
  2. Regular and frequent communication with service vendors and local social services-related agencies regarding authorized assistance; prepare and processes vendor authorizations and payment requests as approved by the Housing Director.
  3. Receive and process rental premiums due under the local Rental Housing Program.
  4. Physically and electronically archive application files and other documents.
  5. Conduct basic internal record-keeping; draft formal payment requests and special command payments for Housing Director approval.
  6. Ensure compliance and reporting to internal and external agencies.
  7. Conduct high level, confidential, administrative support to include reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
  8. Serve as the primary administrative contact in the absence of the Housing Director.
  9. Frequently use a variety of standard office equipment, like a computer, copier, and fax, to prepare reports, professional correspondence, and other documents.
  10. Provide courteous, professional, and culturally respectful customer service while assisting Tribal members and residents with housing and assistance programs.
  11. Perform other duties as assigned.
MINIMUM QUALIFICATIONS
  1. Associate's degree in office management, business or related field or equivalent experience.
  2. Two years of experience as an administrative or executive assistant or work in a related field.
  3. Understand or gain knowledge of and appreciate the Native American culture and customs.
  4. Experience working with confidential and sensitive information and preserving and maintaining confidential and sensitive information.
  5. Complete and pass a comprehensive background investigation and drug screening in accordance with NHBP standards.
PREFERRED QUALIFICATIONS
  1. Bachelor's degree in office management and/or business administration.
  2. Five years office experience as an administrative or executive assistant or related field.
  3. Two years of experience working within a tribal government.
