Our Prizm team supports specialized custom aviation lighting products and services where quality, responsiveness, documentation accuracy, and customer satisfaction are critical to success.
Position Summary
The Operations & Production Coordinator supports the daily operations of the Prizm business by coordinating customer orders, production activities, inventory control, regulatory documentation, shipping and receiving, repair administration, and general business operations. This role requires strong organizational skills, attention to detail, adaptability, and a commitment to supporting customers and operational excellence.

A Day in the Life
You may begin your day reviewing customer orders, updating work orders, and coordinating project documentation. Throughout the day, you could be processing inventory transactions, supporting FAA certification activities, assisting with shipping and receiving, managing repair records, or helping assemble aviation lighting products.
Success in this role comes from balancing multiple priorities while maintaining accurate records, supporting customers, and ensuring operational processes run smoothly from order entry through delivery.
Essential Job Functions
  • Serve as a primary point of contact for customer inquiries and order administration.
  • Review purchase orders and support customer communications and issue resolution.
  • Open, maintain, and close work orders and project files.
  • Maintain traceability documentation and operational records.
  • Coordinate FAA Form 8130-3 certification activities and maintain certification records.
  • Manage customer documentation databases and support SharePoint updates.
  • Maintain inventory records, part numbers, pricing, and bill of material information.
  • Monitor inventory levels and assist with obsolete inventory analysis.
  • Assemble and fabricate PMA-approved parts and kits.
  • Process repair units and maintain repair tracking records.
  • Administer warranty claims and return material authorizations (RMAs).
  • Receive and process incoming shipments and coordinate outbound shipments.
  • Generate sales orders, packing slips, certifications, invoices, and credit memos.
  • Maintain customer, supplier, and dealer records within business systems.
  • Track product and operational data and support process improvement initiatives.
  • Perform other duties as assigned.

Qualifications & Requirements
Education & Experience
  • High school diploma or equivalent required.
  • Two or more years of experience in administrative, operations, manufacturing, customer service, inventory, logistics, or related roles preferred.
  • Aviation industry experience preferred.
  • Familiarity with aviation terminology, acronyms, and documentation preferred.

Systems & Technical Experience
  • Proficiency with Microsoft Office applications required.
  • Experience with Pentagon software preferred.
  • Experience with SharePoint and inventory management systems preferred.
  • Electronics assembly, soldering, or manufacturing experience preferred.

Compensation
The base hourly range for this role is $27.00 USD - $33.00 USD. The pay range provided is a good faith estimate representative of experience levels. Specific compensation for this role will be determined by several factors including but not limited to minimum and preferred qualifications, knowledge, skills, abilities, education, experience, and location.
