The Program Administrator, PACE Grant manages the day-to-day operations, compliance activities, recruitment efforts, data management systems, reporting functions, and partnership activities associated with Brookdale's PACE Pre-Apprenticeship Program. Working collaboratively with College departments, school districts, workforce partners, employers, and community organizations, the position supports successful program implementation and participant progression through educator career pathways. The Program Administrator monitors grant performance measures, maintains compliance with funding requirements, supports continuous program improvement efforts, and facilitates the achievement of enrollment, retention, completion, credential attainment, and apprenticeship placement goals.

Program Operations and Compliance 

• Coordinate daily operations of the PACE program. 
• Manage participant enrollment, eligibility verification, and program documentation. 
• Maintain compliance with NJDOL, USDOL, NJDOE, and College requirements. 
• Ensure participant files are complete, accurate, and audit-ready. 
• Monitor grant deliverables, performance benchmarks, and reporting deadlines. 
• Coordinate program schedules, orientations, workshops, and required activities. 

Partnership Development, Recruitment, and Employer Coordination 

• Serve as liaison to participating school districts, early learning centers, workforce boards, One-Stop Career Centers, community organizations, and employer partners. 
• Develop and maintain relationships that support participant recruitment, enrollment, and apprenticeship placement opportunities. 
• Coordinate recruitment activities with school districts, workforce development partners, community-based organizations, and referral agencies. 
• Coordinate partnership communications, referral processes, and operational activities that support participant recruitment, enrollment, and apprenticeship opportunities. 
• Conduct presentations, information sessions, orientation meetings, and outreach activities to promote the PACE program. 
• Represent Brookdale at workforce development events, career fairs, community events, and partner meetings. 
• Collaborate with the Career Coach, Program Manager, and Director to develop recruitment strategies that support enrollment goals and grant performance measures. 
• Monitor recruitment pipelines and referral sources and identify opportunities to improve enrollment outcomes. 
• Coordinate observation experiences, job shadowing opportunities, and apprenticeship transitions. 
• Maintain communication with mentor teachers, supervisors, and employer partners. 
• Support development and maintenance of partnership agreements and MOUs. 

Data Management, Reporting, and Evaluation 

• Maintain participant data in IGX, RAPIDS, Colleague, and related systems. 
• Generate reports related to enrollment, attendance, completion, CE attainment, apprenticeship placement, and employment outcomes. 
• Analyze enrollment, retention, completion, credential attainment, and placement data to identify trends and support data-informed program decision making. 
• Prepare monthly, quarterly, and annual reports for leadership and funding agencies. 
• Monitor data quality and ensure reporting accuracy. 
• Assist with grant monitoring visits, audits, and program evaluations. 

Candidate Progress Monitoring 

• Monitor participant progression through program milestones and maintain documentation related to completion, credential attainment, apprenticeship readiness, and placement outcomes Coordinate with faculty and Career Coach regarding participant success and intervention needs. 
• Track CE application completion and apprenticeship readiness milestones. 
• Assist with participant retention and completion efforts.

Program Improvement and Special Projects 

• Participate in program evaluation activities and recommend operational improvements to enhance recruitment, retention, completion, credential attainment, and apprenticeship placement outcomes. Participate in workforce development and apprenticeship initiatives. 
• Perform other duties as assigned. 

Education 

• Bachelor's degree in Education, Business Administration, Public Administration, Human Services, Workforce Development, or a related field; or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired. 

Experience 

• Three years of related experience in program administration, student services, workforce development, education, training, or a related field. 

Knowledge, Skills, and Abilities 

• Strong customer service, communication, and interpersonal skills. 
• Ability to work effectively with diverse student populations and community partners. 
• Knowledge of educational program administration, student services, or workforce development practices. 
• Strong organizational skills with the ability to manage multiple priorities and deadlines. 
• Ability to maintain confidential records and information. 
• Experience working with databases, reporting systems, and educational technology platforms. 
• Ability to analyze data and prepare reports. 
• Proficiency in Microsoft Office applications and ability to learn specialized software systems. 
• Knowledge of Watermark, Canvas, Recruit, Colleague, or similar educational systems preferred. 
• Ability to travel locally as needed. 

Preferred Qualifications & Special Considerations: 

• Knowledge of Monmouth County and its communities.
• Local travel, evening work, and weekend work may be required.
