Job description

POSITION: OFF-ROAD FLEET DISPATCHER
COMANCO has an excellent career opportunity for a Off-Road Fleet Dispatcher! The Off-Road Dispatcher utilizes fleet management software and effective communication to coordinate heavy equipment logistics, ensuring Operations has the resources needed for construction projects. The role involves scheduling transports, tracking equipment utilization, and supporting administrative functions within the Fleet Department.
Job Focus:
  • Source off-road owned or rental equipment (e.g., excavators, bulldozers, cranes) for Operations.
  • Perform all equipment related functions in HCSS Dispatcher:
    • Fill equipment Needs Requests.
    • Arrange specialized transport for heavy equipment, including securing oversized load permits and coordinating with transport vendors.
    • Liaise with project superintendents to ensure equipment meets site-specific requirements.
    • Verify all equipment is returned after project completion and document any missing assets.
    • Utilize HCSS Dispatcher and Telematics to optimize equipment allocation and track utilization.
    • Monitor equipment utilization to reduce rental costs and support sustainability goals.
    • Perform True-up daily reporting.
    • Inactivate and hide closed jobs.
    • Discontinue and merge off-rent and retired equipment.
    • Negotiate with vendors to secure competitive pricing and resolve issues related to delivery delays or discrepancies.
  • Order fuel for the shop and job sites, as requested.
  • Request quotes for equipment repairs if requested.
  • Create purchase orders and process the receiving of items and/or services.
  • Review fleet invoices for accuracy and resolve discrepancies quickly and effectively.
  • Resolve any issues with equipment vendors.
  • Report all damage to equipment to management.
  • Backup the On-Road Dispatcher as needed.
  • Crosstrain to handle other fleet administrative tasks when requested.
  • Create and review existing Standard Operating Procedures (SOPs) for the Fleet Dispatcher position.
  • Manage a high volume of telephone calls and inbound and outbound emails.
  • Learn all systems and processes and contribute to all areas of Fleet Operations.
  • Work safely and adhere to all safety and company policies, procedures, and standards.
  • Attend scheduled meetings as assigned.
  • Perform other duties as assigned by Management.

Qualifications:
  • Education and/or Experience: High school diploma or GED plus technical education; or three to five years related experience and/or training; or equivalent combination of education and experience.
  • Computer Skills: Skilled knowledge of computerized accounting systems and administrative software. Working Knowledge of Database software; Internet software; Spreadsheet software, Word Processing software, Outlook.
