Referral Admissions Coordinator - Overnight Shift | Summit Healthcare Mgmt | Franklin, Tennessee
About the Job:
PURPOSE STATEMENT:
The Overnight Referral Admissions Coordinator is responsible for providing exceptional, client-centered support during non-business hours, ensuring all inbound referrals and inquiries are responded to promptly and effectively. This role utilizes established assessment tools and admission criteria to determine the appropriateness of clients for care, while maintaining a strong sense of urgency. The Overnight RAC ensures seamless continuity by clearly communicating all case activity, next steps, and barriers to the daytime admissions team to support progression of the admission process.
Roles and Responsibilities:
ESSENTIAL FUNCTIONS:
Overnight Referral Management & Client Engagement
  • This role operates during overnight hours and requires the ability to work independently while maintaining alignment with team standards and processes.
  • Applies critical thinking, self-direction, and the ability to make informed decisions.
  • Responds to inbound calls, digital inquiries, and referral sources during overnight hours, ensuring timely engagement and support for clients and families in need.
  • Shows initiative and urgency in advancing each case, prioritizing critical or time-sensitive needs such as safety concerns, detox needs, or placement urgency.
  • Communicates with referral sources, clients, and families in a professional, empathetic, and solution-focused manner, even in high-stress or urgent situations.

Clinical Assessment & Admission Evaluation
  • Utilizes established clinical, medical, and financial screening tools to assess appropriateness for care and level of need, making preliminary approval determinations aligned with admissions criteria.
  • Completes comprehensive clinical and medical assessments and ensures all required documentation is initiated and updated in real time.
  • Initiates insurance discussions, financial reviews, and preliminary payment expectations when appropriate, ensuring all information is captured for follow-up.

Documentation, Case Management & Continuity of Care
  • Clearly documents all interactions, decisions, and next steps to ensure accurate and actionable handoff to the morning admissions team.
  • Proactively identifies barriers to admission (clinical, financial, logistical) and outlines recommended solutions for follow-up.
  • Maintains high-quality written and verbal communication to ensure seamless continuity of care and workflow progression between shifts.
  • Ensures all cases are left in a clearly defined, actionable state for the next business day team, minimizing delays in admissions progression.

Collaboration & Escalation
  • Assigns and escalates cases appropriately to team members, leadership, or business development partners based on urgency and need.
  • Collaborates cross-functionally (as needed overnight) with on-call staff, clinical teams, or leadership to support decision-making.

Performance & Operational Excellence
  • Maintains performance expectations related to responsiveness, documentation quality, and conversion support.

EDUCATION/EXPERIENCE/SKILL REQUIREMENTS:
  • High School degree or GED required.
  • Bachelor's degree in social work, psychology, or similar healthcare field preferred.
  • Minimum of one year of experience in transactional/relationship sales required.
  • Experience in the substance use disorder or psychiatric treatment fields highly preferred.
