Samyak Solutions Inc. (SSI) is seeking a detail-oriented and reliable Legal Secretary to support daily operations at the United States Attorney's Office, Northern District of Mississippi (USAO-MSN). The mission of USAO-MSN is to prosecute and defend cases on behalf of the Federal Government, and this role provides essential administrative and case-management support to help the office run efficiently. This is an on-site position located at the USAO-MSN office in Oxford, Mississippi.

Key Responsibilities

• Answer, screen, and route incoming phone calls; greet and screen office visitors.

• Issue visitor badges, maintain sign-in logs, and ensure compliance with facility security provisions.

• Process, date-stamp, sort, and log incoming mail deliveries; manage copying projects.

• Prepare and process outgoing mail and light shipments.

• Operate standard office equipment, including photocopiers, fax machines, multi-line phone/voicemail systems, mailing machines, security keypads, and computer applications.

• Generate forms and documents from templates; perform data entry, file creation, and records management, including purging of paper files and electronic media for archiving or destruction.

• Reserve conference rooms and government vehicles using online scheduling calendars.

• Organize and prioritize work involving assignments with multiple, varied steps.

• Open new cases per authorization and send ‘new case opened’ notification emails with file location and USAO case number.

• Enter civil and criminal case-opening information into the USAO case management system (CaseView), including new cases, appeals, case closures, and declinations.

• Fact-check and verify accuracy of entered data, perform quality-control review using online databases, correct errors, maintain confidentiality of sensitive information, and document all data-entry activity.

• E-file court documents electronically across various court systems and portals.

• Organize and manage digital case files using cloud-based systems that support version control, secure storage, and sharing.

Qualifications

• High school diploma or equivalent required; some college coursework or a degree is a plus.

• Prior experience in an administrative, secretarial, or office support role, ideally within a legal, law enforcement, or federal government setting.

• U.S. Citizenship required.

• Ability to obtain and maintain a Public Trust Security Access determination.

• Strong organizational skills and the ability to manage multiple tasks with varying complexity and sequencing.

• High degree of accuracy and attention to detail, particularly for data entry and case-record management.

• Comfort working with standard office technology, case management software, and cloud-based document systems.

• Ability to maintain strict confidentiality when handling sensitive and Privacy Act–protected information.

Work Environment

This is a full-time, on-site position at the USAO-MSN facility in Oxford, Mississippi. The Government will furnish office space, a telephone, and a networked PC with required software and database access. Occasional overtime may be authorized with prior COR approval; local travel (within a 50-mile radius) may occasionally be required, and any overnight travel requires advance written approval.
