Job description

TMG is looking for highly motivated, enthusiastic team players interested in a career rather than just a job. With a team of over 1,500 nationwide associates, TMG is seeking an individual who can uniquely contribute to our 30+ years of success in the industry.
Responsibilities:
  • Front Desk Services
    • Answer the phone in a professional manner consistent with CSG global standards.
    • Check-in with security for any overnight issues with the facility.
    • Review calendar events of expected external guests and related employee conference room bookings for the day ahead.
    • Greet, ID and sign in guests and alert hosts to their guests' presence; keep guests updated about their host's arrival time. Ensure all guests are collected in a timely manner. Show guests where to put coats, luggage, etc. Offer beverages.
    • Welcome EBC guests, provide their agenda and direct them to the EBC reception lobby. Direct guests to EBC dedicated restrooms and provide access to other restrooms where required.
    • When EBC briefings are in progress, place a sign indicating a briefing is in progress. Monitor activity to ensure other employees/guests do not enter the EBC if they are not part of the briefing.
    • Provide visitor/day badges and maintain visitor badge log. Collect badges before the visitor leaves.
    • Ensure the reception desk, waiting area and lobby are maintained to the highest standards of tidiness and cleanliness.
    • Train new reception team members.
    • Assist security with any knowledge of operations, VIP visitors/employees, receipt of written email for access, etc.
    • Send the Facilities team alerts throughout the day when certain VIP employees arrive to campus and alert security when certain vendors arrive.
    • Meet and greet new hires and employees and provide "Help Desk" knowledge of our office services, spaces, and amenities.
    • Assist Telecom team on any reception phone issues/upgrades and provide monthly manual check of working phone queues.
    • Maintain PPE in reception.
    • Reception staff may, from time to time, need to leave its post and must take all appropriate measures to ensure continuity of coverage.
    • Monitor email alerts from the American Flagpole and Flag Co. for notification to facilities of half-staff proclamations issued by the US government.
    Administrative Services
    • Support site administration projects as required by the Facilities Team, e.g., creating documents, printing, filing, sorting, etc.
    • Maintain and update Reception Standard Operating Procedure Manual with best practices and streamlined processes. Proactively assist in the implementation of recommendations for process improvement.
    • Perform other tasks as assigned by management
    • Assist and provide backup support to the ELT Admin Team. This may include escorting guests to the executive floor.

Qualifications:
  • Exhibits exceptional customer service skills.
    • Consistently demonstrates professional demeanor, appearance and attitude.
    • Exhibits superior verbal communication and phone skills.
    • Customer service, reception or front desk experience preferred.
    • 1-3 years' experience with Microsoft Office Software (Teams, Word, Excel, Outlook).
    • Demonstrate the ability to be flexible and adapt to change in the work environment.
    • Strong work ethic; diplomatic; team player and service-oriented; builds strong working relationships.
    • Ability to multitask and handle multiple projects at one time.
    • Proven ability to remain calm under pressure; resilient.
    • Sound judgment and problem-solving ability.
