Summary
As the Director of First Impressions, you’ll be the welcoming face of our firm and the steady hand that keeps daily operations running smoothly. From the moment clients or guests walk through the door, your professionalism, warmth, and attention to detail will shape their experience. This role combines hospitality, client service, and team support in a fast-paced, professional environment where accuracy and care truly matter.

Client amp; Office Experience
  • Greet and assist clients, guests, and team members with professionalism and warmth.
  • Serve as the first point of contact — in person, on the phone, or via email — ensuring inquiries are handled promptly and accurately.
  • Create a welcoming, professional environment that reflects the firm’s values.
  • Anticipate client and advisor needs, providing proactive support beyond reception duties.
Administrative amp; Compliance Support
  • Manage calendars, schedule meetings, and coordinate logistics for advisors.
  • Maintain office operations, including mail, supplies, vendors, and facility coordination.
  • Process client account checks with accuracy, ensuring compliance with FINRA/SEC requirements.
  • Support compliance processes through document management and timely, accurate recordkeeping.
Event amp; Culture Coordination
  • Help organize client events, appreciation activities, and team-building experiences.
  • Coordinate logistics for meetings, conferences, and community involvement.
  • Support onboarding of new employees by preparing workstations and orientation materials.
  • Contribute to a positive, collaborative office culture through proactive engagement.
Team Collaboration amp; Support
  • Provide administrative assistance across departments as needed.
  • Address and route client or team requests, escalating issues when appropriate.
  • Support special projects or additional administrative duties as assigned.
  • Ensure all activities comply with company policies and procedures.
Qualifications
Education amp; Experience
  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Minimum 2–3 years of experience in administration, reception, or client service.
  • Experience in event coordination and/or financial services is a plus.
Skills amp; Competencies
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Working Conditions
  • Schedule: Full-time, Monday–Thursday 8:00 a.m.–5:00 p.m., Friday 8:00 a.m.–3:00 p.m.
  • Flexibility: Occasional evening work for events; limited travel for training, meetings, or client visits (including overnight stays as needed).
  • Travel: Occasional travel for company meetings, training, or client visits. Must be able to travel independently, including the possibility of an overnight stay from time to time.
  • Environment: Office-based role with regular interaction with clients and staff.
  • Physical Demands: Ability to sit, stand, walk, lift 10 lbs., and use standard office equipment.
